Recruitment range: $77,064- $84,968 starting salary determined by the PEA Collective Agreement.

Performance range: starting salary to max of $100,235 is available through annual performance increases.

External Relations functions as an integrated team, working together toward common goals with partners, stakeholders and key audiences on campus and in external communities.

Ceremonies & Events mandate within External Relations

As part of the VP External Relations Division, Ceremonies and Events plans and implements high profile events designed to showcase university excellence with internal and external partners and constituents. Events include 14 convocation ceremonies held twice a year, major donor and benefactor recognition events, building openings and naming ceremonies, government announcements, annual awards and recognition ceremonies, institutional events, conferences, and other events as mandated by Executive.

Ceremonies & Events Mandate

Ceremonies and Events provides strategic leadership and tactical support to UVic faculties and departments in the planning, delivery and execution of Events and Projects ranging from large-scale student-focused events to off-site national conferences.

The Events and Project Officer sets up projects for success. They are a subject matter expert in project management and event programming. They lead the operations of high priority university projects and events. They manage, maintain and upgrade event platforms. They coach and mentor other project and event professionals across the university to build their project management skills and ensure they are trained on relevant policies, procedures and event platforms. They use exceptional interpersonal skills in all aspects of their role.

Job Requirements

The Events and Project Officer requires an undergraduate in a related field and a minimum of 3 years directly related work experience. Equivalent combinations of training, education and/or experience may be considered.

Knowledge, skills, and abilities include:

  • Expertise with project management principles and methodologies.
  • Proven expertise in event planning and delivery.
  • Strong mentorship and coaching skills.
  • Sound knowledge of privacy laws and regulations.
  • Demonstrated commitment to valuing the principles of truth, reconciliation and respect, equity diversity and inclusion, and contributing to an inclusive working and learning environment.
  • Excellent analytical, critical thinking and problem-solving skills
  • Exceptional interpersonal and communication skills, both written and verbal.
  • Excellent conflict resolution and negotiation skills.
  • Ability to build and maintain productive working relationships with all stakeholders, internal and external.
  • Ability to work independently and collaboratively in a team environment.
  • Proven track record of managing projects from start to finish, on time and on budget.
  • Ability to work effectively with a diverse population and with all levels of university personnel.
  • Ability to present publicly.
  • Working-level skills with the Microsoft Office Suite.


Assets or Preferences:

  • Knowledge of industry standard event platform systems and software.
  • Experience in a post-secondary environment.
  • Background in project management, event programming and/or communications.
