Job Overview

The Event and Marketing Coordinator is responsible for delivering, with the guidance of the Manager, Operations and Community Impact, Gibsons Community Building Societies' (GCBS) community events. These include but are not limited to Sunshine Coast Craft Beer Fest, Wellness Fest, Summer Night Market Series, and Winter Fest. Additionally, this role will coordinate marketing activities for the organization, which is largely connected to events.

Background

The Gibsons Community Building Society (GCBS) is a not-for-profit society that operates the Gibsons Public Market (GPM) and the Nicholas Sonntag Marine Education Centre (NSMEC). Gibsons Public Market is a vibrant hub of coastal life. It is a community project that inspires and supports economic activities in the region and is a destination for Sunshine Coast residents and visitors where all are welcome to convene, learn, and enjoy local food, fresh produce, art and entertainment. It provides space for community activities, gatherings, workshops, a marine education centre, a community kitchen, and a bistro.

The Nicholas Sonntag Marine Education Centre features a collect-and-release aquarium home to over 200 creatures representing 70+ species, collected from the pristine waters of Átl'ka7tsem | Howe Sound and Sechelt Inlet. The Centre is designed to showcase the mystery, wonder, and magic of the fantastic undersea world at our doorstep, inviting visitors to discover how the ocean connects us to all of life and each other. It is open to the public, private tours, and other special events. It provides curriculum-based experiential marine education to students and educational day camps for children.

RESPONSIBILITIES

EVENT PRODUCTION

  • With the support of a team, coordinated annual community events and fundraisers throughout the year, including but not limited to Beer Fest, Wellness Fest, Ocean Art Fest, Summer Night Markets, and Winter Fest & Market.
  • Coordinating vendors and services
  • Coordinating staff and volunteer support for events
  • Coordinate activities and decor
  • Other duties as assigned

MARKETING + COMMUNICATIONS

  • Overseeing our Facebook and Instagram accounts - making posts and stories and responding to questions from the public via social media, and working towards engaging a growing a larger audience.
  • Using Canva and/or Adobe to create posters, content, and other promotional materials for programs and events
  • Documenting events and activities with photos and videos for social media
  • Making updates to the websites
  • Creating Newsletters + E-blasts
  • Updating building screens + bulletin boards with new content
  • Support the promotion of NSMEC + GPM programs and events
  • Other duties as assigned

CUSTOMER SERVICE (as required)

As a small community non-profit organization, all employees wear many hats. While each employee has clear responsibilities, we also expect that employees are willing to be adaptable and support the greater needs of the organization as required. Each coordinator is expected to work 1 day a week at our public-facing customer service desk. This provides critical support to the organization and allows team members to interact with the community and play a more holistic role in the organization's overall operation. Customer service tasks include:

  • Working at the customer service desk for the building (generally 1 day a week)
  • Opening and closing the building
  • Monitoring the tidiness of the building and addressing any concerns
  • Answering and directing phone calls and in-person inquiries
  • Facilitating daily sales, memberships, and aquarium admissions

QUALIFICATIONS & SKILLS

  • Education + Training in event production and/or marketing and communications
  • 1-2 years of work experience in event and/or marketing and communications
  • Exceptional interpersonal skills, i.e. you are approachable, friendly, and enjoy talking to people
  • Observant, detail-oriented, and a great multi-tasker
  • Strong verbal and written English communication skills
  • Interest in supporting meaningful community and environmental work
  • Team thinker, confident in asking questions and doing basic problem-solving
  • Experienced and intuitive with computers
  • A passion for creating content for Instagram, Facebook, and other social media platforms
  • Experience with Canva or similar layout design programs
  • Experience coordinating social media post schedules and creating plans for growing audiences
  • Cash handling, point of sales systems (i.e. Square), balancing day sales
  • Ability to follow directions and work independently
  • Ability to be flexible and assist with in-house events and programs as needed
  • Other duties may be assigned as required

WORKING CONDITIONS

  • Primarily onsite work in Gibsons
  • Weekend work will be required (this could change over time)
  • Occasionally, evening work could be required (minimal)
  • Ability to lift and move tables, chairs, and other equipment
  • A vehicle and driver's license, an asset
