Job description

FINANCE OFFICER

Overview:

The Finance Officer is responsible to ensure the accurate maintenance of all financial transactions of the Friendship Centre; adhering to and implementing the organization’s financial policies, procedures and controls.

The Finance Officer will assist in the administration of operations on a day to day basis and assume responsibility and accountability for operations during the absence of the Executive Director.

Duties:

→Record the financial operations of the Friendship Centre:

- Revenues -determine & verify the source, receipt & code to appropriate account(s).
- Deposit revenues.
- Prepare receivables.
- Disbursements -ensure proper support documentation for each invoice/disbursement, code expenditures to appropriate accounts.
- Maintain and control all petty cash funds.
- Prepare Floats for events & programs.
- Prepare Bingo, Break-open and Fundraising License applications.
- Implement & maintain controls in relation to Break-open and Fundraising activities.
- Monitor Break-open and Fundraising supply inventory and replenish as required.
- Prepare required financial reports for Bingo, Break-open and Fundraising and submit same to appropriate agency.
- Monitor expenses in relation to the Travel Expense policy to ensure proper calculation.
- Prepare payables.
- Remit as per guidelines Employee/Employer Source Deductions, Provincial Sales Tax, and Goods & Services Tax.
- Process Payroll (direct deposit).
- Implement and maintain a tracking system to record employee attendance, absences, and leaves.
- Ensure time sheets are verified and approved for bi-weekly payroll preparation.
- Administer & maintain the Group Insurance and Pension Plan programs.
- Inform staff of their status in relation to accumulated sick leave, vacation leave and banked/overtime hours.
- Ensures personnel files and documents are maintained and updated on a regular basis.
- Input data -receipts, disbursements, payroll, journal entries into a computerized accounting program.
- Complete Bank Reconciliations.
- Prepare contractual agreement financial reporting claims/requirements.
- Ensure the completion of monthly financial statements for review by the Executive Director.
- Examine monthly financial statements to ensure proper input of data.
- Advise on financial requirements and implication of alternative actions.

- Provide additional information as required for the interpretation and analysis of situations.
- In consultation with the Executive Director develop comprehensive fiscal budgets.
- Prepare working papers necessary for the annual audit and other audits as required.
- Conduct annual Inventory requirements.
- Ensure that established controls and systems are applied during daily business transactions.
- Provide support to staff in relation to financial matters that affect the efficient operation of the Friendship Centre.
- Respond to correspondence relating to inquiries concerning financial matters as directed.

→ Assists the Executive Director with the administration of operations; completing assignments/directives as instructed.

- Orientate staff on Friendship Centre policies and procedures.
- In consultation with the Executive Director, review and update Operating Procedures and advises all staff of changes.

→ General:

- Maintain & safeguard files.
- Attend training seminars, workshops and meetings as directed.
- Other duties relevant to the position may be assigned from time to time.

Expected Qualifications:

- Completion of post-secondary education in accounting, bookkeeping or a related field; or demonstrated competency in accounting.

- Working knowledge of Financial Management, 2-5 years of experience.
- Essential Skills: Oral communication, working with others, computer use, problem solving, job task planning and organizing including ability to prioritize workload, writing, reading text, document use, finding information, critical thinking, decision making, continuous learning.

- Knowledge of the Manitoba Labour Code, Employment Standards Act, and Revenue
Canada Taxation.

- Ability to organize and prioritize workloads.
- Must utilize confidentiality in matters pertaining to the financial aspects of the Friendship Centre.
- Demonstrated ability to deal with stressful situations.
- Self-starter who requires minimum supervision.
- Knowledge of the Friendship Centre Movement, mandate, organizational structure and issues.
- Knowledge of aspirations, values and cultures of urban Indigenous peoples.
- Employment is subject to a Criminal Record Information check.

Job Type: Full-time

Salary: $23.00-$28.00 per hour

Expected hours: 35 per week

  • Monday to Friday
