Hours: 25 hrs/week (9am-2pm); this position has the potential to evolve to 35 hrs/week.

Job Description:
Working in collaboration with Financial Advisors at Summit Financial, the Financial Services Assistant will provide full administrative support in accordance with industry processes. This can include, but is not limited to processing new business, updating existing clients/KYCs, ensuring daily trades and system account entries are timely and accurate, and client services. Duties carried out by this individual will be completed in a professional and compliant manner.
Core Duties and Responsibilities:
- Assist advisors in their day-to-day administrative tasks (i.e. processing investment transactions, updating client files, obtaining electronic signatures), ensuring process protocols and service standards are consistently maintained.
- Track and follow-up on pending transactions and transfers.
- Ensure that all tasks completed are compliant in accordance with Investia Financial Services’ compliance manual.
- Respond to client requests and inquiries promptly and efficiently.
- Record client related communications within the CRM.
- Assume ownership of assigned tasks and quality of work, including recognizing any urgencies and assisting in the resolution of problems.
- Obtain information, quotes, illustrations, and product details for analysis.
- Liaise with product providers and other third parties.
- Additional responsibilities, duties and special projects as identified.
Education, Experience & Skills:
- This is an entry level position. Industry experience is a plus, but not essential.
- A minimum of 2 years' experience in an administrative role is preferred.
- Superior organizational and time management skills with demonstrated ability to effectively manage multiple tasks and responsibilities.
- Proven accuracy, attention to detail and data entry skills.
- Excellent written and verbal communication skills.
- Strong interpersonal skills with a demonstrated ability to develop and maintain relationships and work within a team environment.
- Ability to represent self, office, and organization in a professional, positive manner at all times.
- Ability to achieve agreed outcomes without supervision.
- Ability to handle sensitive and confidential information in a professional manner.
- Knowledge of Microsoft Office programs; Outlook, Word, Excel and PowerPoint in particular.
