General Accountability
The General Clerk - Accounts Payable monitors the two AP general mailboxes for electronic Invoices and Account inquires, tracks stats, and coordinates records management.
Key Job Functions
Monitors electronic Invoice Account to ensure all invoices are received by appropriate staff and as required to avoid duplicate payments;
Tracks email stats by period, average and annually, comparing summaries from previous years for all invoices received
Ensures emails related to area of responsibility are being re-directed to appropriate staff members for payment status requests or inquires, including adding or changing rules
Coordinates the section’s records management which involves organizing boxes for storage, completing the necessary forms, ensuring records are retained according to by-laws and maintaining associated records to facilitate retrieval
Processes distribution corrections for expenses charged to incorrect accounts
Receives physical internal/external mail for Accounts Payable, scans physical invoices and saves as a PDF, adds the AP approval stamp and uploads into appropriate AP Coordinator’s folders in the shared drive.
Monitors and organizes Accounts Payables’ central email accounts
Supports electronic invoice processing by verifying AP approval stamps on each invoice, saving invoices into appropriate AP Coordinator’s folders in shared drive, and flagging invoices as required to avoid duplicate payments
Backs up AP Coordinators during vacation time (invoice entry on IFS)

Education and Experience
Completion of a secondary school diploma or a combination of education, training and experience deemed to be equivalent.
Previous work experience with IFS, inputting and accessing data
Experienced using Access Databases
Demonstrated experience receiving and monitoring electronic accounts payable invoices
Records management experience
Public sector (Municipal, Provincial, and/or Federal), or a public sector agency experience is preferred.
Additional Requirements
Proficient in the operation of PCs and related software applications such as Word, Excel, PowerPoint, etc. as well as in using other office equipment such as a check/envelop-stuffing machine
Advanced experience with Outlook and being able to navigate with a high degree of accuracy.
Being able to quickly flag and trouble shout independently and with other departments.
Must be highly detail-oriented and have the capability to perform repetitive tasks with a high degree of accuracy and efficiency
Customer service focused to resolve questions and issues.
