Highly organized and dependable Administrative assistant required.
The Managed Services Assistant is responsible for tracking and invoicing of renewable products, services, and agreements.
Note that this job has an initial requirement to be in our Chilliwack office, with opportunity for hybrid/work from home in the future.
The ideal candidate will be extremely comfortable with & the have the ability & desire to learn new Technology quickly. A focus on detail & accuracy is of utmost importance along with the ability to work both independently and with the team.
Responsibilities
- Prepare and Maintain client agreements, contracts, invoices and renewals.
- Product management –procurement, head count, vendor invoice reconciliation & vendor programs.
- Client provisioning and product procurement of Managed Service products and services.
- Update and Maintain product skus and current costs of Managed Service products in the product catalog.
- Ensure client and vendor subscriptions are renewed as necessary.
- Use computer word processing, spreadsheet, and database software to prepare reports, and documents.
- Update and ensure the accuracy of the subscriptions and expiries within appropriate systems
- Assist in monitoring Managed Services Boards in systems
- Code and file financial material according to established records management procedures
Accountabilities
- Ensure configurations are up to date with the current expiry dates for all subscription-based services and products and associate configurations to the relevant Agreement.
- Ensure that renewal notifications are sent out at least 30 days in advance
- Ensure agreements are invoiced and sent by deadlines.
- Implements and adheres to company policies and procedures
- Ensure Vendor invoices reconciled and entered by deadlines
Other duties
- Provide secretarial and administrative support to management and other staff.
- Answer general phone inquiries using a professional and courteous manner.
- Direct phone inquiries to the appropriate staff members.
- Reply to general information requests with the accurate information
- Greet clients, suppliers, and visitors to the organization in a professional and friendly manner.

Education & Certifications
- High School diploma or higher with a Business focused educational path or applicable experience
- High School Diploma
- Post-Secondary education in business, computers, or office management is an asset.
- 1-3 years of experience in an office setting
- Previous experience in a Managed IT Services company will put you to the front of the list
