This position is classified as a Hybrid position, meaning the successful candidate will work at Oshawa or Markham office three (3) days per week.

The Role:

The HR & LR Coordinator supports the enabling of an agile and effective HR function in Canada, through strong governance in administering critical tasks, coordinating function-wide initiatives, representing HR internally in cross-functional projects, and supporting the General Director to further strengthen our culture of learning, accountability, and inclusion. The incumbent should be comfortable working with employees at all levels of the organization, stakeholders, suppliers, industry, and union partners.

What You'll Do:

Administration –

  • Supports the Director by managing their calendar, expense reporting and other administrative tasks as required.
  • Coordination, facilitation and minutes keeping of departmental meetings and events
    • Stand-up Meetings
    • Quarterly HR Meetings
    • HRLT Meetings
    • HR WOC meetings & Tracking of actions
    • ERG Leaders meeting
    • Organizing Corporate giving events for the HR team
    • Other meetings as and when required
  • Work closely with finance and the Director regarding department budget management
    • PO and invoice management
    • HR and LR finances & ERG budget management
    • Keep a keen eye on HR expenditure and flag any budget / forecast discrepancies
  • Monitor, update and distribute Bulletins, Announcements and Memos
    • GM holiday calendar
    • Other regular emails to handle for the team:
  • Coordination of the ILM process
    • Diligent document management both for physical files and digital.
    • Manage employee files & record keeping
    • Annual Audits to ensure all employee files are in good order
  • Department coordinator for the Business Continuity Plan
  • Renewal of HR Insider and HBR subscriptions
  • Collaborate with global and local CoE’s as required
  • Create statements of work, purchase orders and work closely with external suppliers
  • Act as a liaison between purchasing, external suppliers, and our finance department to resolve issues and to provide support.
  • Process transactions in SAP, create shopping carts and purchase orders
  • Manage departmental translation requests
  • Complete HR special projects/assignments as requested

Additional Job Description

Human Resources coordination –

  • Work closely with the communications department on various HR communications as required, ensuring alignment on culture priorities and voice of the employee
  • Work closely with the Employee Resource Groups to advise and work on various diversity, equity, and inclusion initiatives
  • Cover and delegate for PHR Partners during periods of leave and when appropriate to ensure the continuity of the employee experience
  • Coordination and facilitation of the new hire orientation (shared responsibility with the PHR team) Requires
    • Working with TA, hiring managers, PHRs and Benefits, to ensure all new hires are coordinated to attend the salaried orientation session across Canada

Employee Resource Group (ERG) coordination –

  • Work closely with the Employee Resource Groups to advise and work on various diversity, equity, and inclusion initiatives
  • Link to connect Canadian ERGs to global ERGs
  • Manage ERG budget and Calendar of events in collaboration with the Employee Connections Committee.

Labour Relations coordination –

  • Support the Sr Manager, Labour Relations in socializing the key Canadian collective bargaining initiatives ahead of negotiations
  • Coordinate and run Equity Learning week for the union as per the master agreement
  • Coordinate direct communications between GM and Union leadership
  • Support the Sr.LRM in operationalizing the labour relations strategic plan, particularly in ensuring the alignment of various GM SMEs through meetings and communication
  • Employee physical files management & retrival
