Job description

Location: Remote (90% work from home, occasional in-person meetings/tasks)

Schedule: Monday-Friday, half days

Company Description:

We are a dynamic and rapidly growing pet care company in need of a dedicated and efficient Executive Assistant to support our CEO. The primary focus of this role is too support our CEO and keep her organized and on track as she continues to build her team and business.

We are looking for someone with administrative assistance experience, with preference for those who have prior experience in c-suite assistance. The demanding tasks and schedule of our CEO requires someone who can help her =be effective with her time and energy, management of her calendar and emails, as well as prepping communications and reports for her. This role may also assist in some parts of HR administration and other administration for our team, but generally will be focussed on assisting the CEO daily. We are looking for someone assertive, who is able to take initiative and make decisions as appropriate, and who will be able to communicate confidently with our CEO on a regular basis. This part-time position will mostly be a work-from-home position, but will occasionally require in-person meetings or tasks in the Okotoks or Calgary area. Wage is dependent on experience level.

Responsibilities:

- Manage and maintain the CEO's email inbox, responding to emails as appropriate and prioritizing important messages.

- Coordinate and manage the CEO's calendar, scheduling meetings and appointments.

- Prepare and edit correspondence, communications, presentations, and other documents.

-Track and coordinate tasks that may be required by CEO and other team members on projects.

- Handle sensitive and confidential information with discretion.

- Assist in the preparation of reports, presentations, and data analysis.

- Manage and organize electronic files, including access to certain files for various team members, ensuring information is easily accessible.

- Assist with general HR processes, including preparing documentation related to hiring, promotions, terminations etc.

- Coordinate travel arrangements and accommodations for the CEO.

-Manage appropriate software access for all teams members.

- Perform other administrative tasks as needed.

Qualifications:

- Bachelor's degree preferred.

- Proven experience as an Executive Assistant or similar role, including email and calendar management.

- Strong organizational and time management skills.

- Excellent verbal and written communication skills.

- Proficient in Microsoft Office suite and other relevant software.

- Ability to multitask and prioritize tasks effectively.

- Positive attitude and strong work ethic.

- Accounting experience is an asset.
