We are looking for an Inside Sales/ Office Administrator for Walker Aggregates at our Essex location.

Primary Responsibilities of the Job:

Customer Service

  • Maintains a database of customer invoicing and information. Enters orders and enacts changes to customer information to ensure all records are current.
  • Responds to central dispatch order system via telephone or online for aggregate products. Serves existing and potential customers to supply accurate pricing and material information often as first company contact.
  • Enters customer orders and all job information, including product pricing and freight, to maintain a current database of customer orders and assist in providing timely and accurate billing information.
  • Coordinates material delivery through network of local haulers. Tracks activity of haulers and reconciles trucker payables to actual deliveries.
  • Investigates and resolves customers concerns and complaints when possible and refers to the appropriate department to ensure customers receive prompt attention.
  • Responds to customer inquiries and provides information on products and materials. Refers customers to sales representatives as necessary.

Sales Admin

  • Prepares daily, weekly and monthly sales reports to assist the Sales Manager with sales related reporting and decision making.
  • Prepares and issues weekly customer invoices and addresses customer concerns and makes corrections to invoices as required.
  • Administers quoting software to ensure information is accurate and up-to-date.
  • Provides sales information support to Scale House, AR/AP staff and Managers as required to supply timely information, avoid delays in delivering products to customers and expedite invoicing and collection of payment.
  • Monitors accounts receivables to identify past due accounts.
  • Scans and monitors websites, to identify potential new projects or tenders.
  • Coordinates Scalehouse relief as necessary.
  • Produces a variety of reports such as Transaction Reports, Sales Data Reports and Cash Sales Reports, to provide current information to various departments.

Office Admin

  • Enters payables into the system, balances inventory, and generates a variety of reports.
  • Receives, sorts and prioritizes mail, taking notice of required actions and due dates to ensure timeliness of responses and required actions.
  • Receives cash receipts and prepares bank deposits to process customer payments.
  • Maintains the filing system, customer contact and newsletter distribution lists to ensure documents are stored and distributed correctly.
  • Answers and redirects all incoming calls to ensure all calls are answered in a timely fashion.

Skills and Qualifications:

  • Minimum 2 year College Diploma.
  • Preferably a minimum of 1 year experience in a customer service / dispatch role.
  • Comfortable working in a variety of different settings
  • Advanced computer software skills (i.e. MS Word, PowerPoint, Excel,) to efficiently and effectively produce reports, input customer orders and information as necessary.
  • Demonstrated ability to work well under pressure.
  • Able to convey both good & bad news in a professional manner
  • Basic problem solving skills to analyze problems, investigate customer complaints and formulate a plan of action.
  • Able to work with limited supervision.
  • Communicates politely, professionally and with clarity, verbally and in one-on-one or group situations, or over the telephone
  • Capacity to follow directives and fulfill requests.
  • Proactive - anticipates and initiates action to meet needs
  • Adaptable – able to set and prioritize work with occasional exceptions, able to work with diverse personalities.
