Purpose

Contributes to the overall success of ADS, Investment Services in Canada ensuring specific individual goals, plans, initiatives are executed/delivered in support of the team's business strategies and objectives. Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures.

Accountabilities

• Champions a customer focused culture to deepen agent and client relationships and leverage broader Bank relationships, systems and knowledge.
• Effectively and efficiently action any requests into ADS Investment Services.
• Retrieves and processes all the transactions received and maintains the Bank's systems up-to -date following Scotia Service Standards and agreements as per Service Level Agreement terms.
• Ensures all ADS related requests received on a daily basis are processed accurately, within SLA, and according to Policies and Procedures, including but not limited to the following:
  • Processing daily Cannex file and batch preparation, ensuring that applicable funds have been deposited by agent/advisors to fund all purchases; as well as bulk redemptions, and purchase.
  • Receiving notification of rate changes and updating system as required with rates, ensuring appropriate approvals are in place, verifying for 100% accuracy.
  • Arranging for distribution of rate notifications, updating any websites as required.
• Respond to all inquiries received via email or calls in a timely and professional manner while fostering a relationship of mutual trust, respect and confidence.
• Reporting any unusual transactions and potential fraudulent activities to the Manager immediately.
• Understand how the Bank's risk appetite and risk culture should be considered in day-to-day activities and decisions.
• Assume other duties as assigned by the Investment Support Lead(ISL) or Manager as required to meet operational and regulatory requirements.
• Actively pursues effective and efficient operations of his/her respective areas, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk, including but not limited to responsibilities under the Operational Risk Management Framework, Regulatory Compliance Risk Management Framework, AML/ATF Global Handbook and the Guidelines for Business Conduct.

Education and Experience:

• Post-Secondary Education
• Knowledge of broker/agent business, ADS products and systems would be considered an asset.
• Ability to deal effectively with agent and customer inquiries, complaints, referring to aManager/ISL where necessary, and ensure a prompt and accurate resolution is provided to thecomplete satisfaction of all parties involved, the Customer, the Bank, and Investment Support department.
• Demonstrated flexibility in a constantly changing environment (procedural and automated), being versatile and able to provide cover on several posts at different times and at different levels based on business needs.
• Good communication verbal and written to prepare business letters, reports and documents for customers, and external resources as required.
• Good organizational skills to manage workload.

Working Conditions

• Work in a standard office-based environment; non-standard hours are a common occurrence. Limited travel domestically.
• Shift work may be required
