SUMMARY: The individual in this position is responsible for providing support to the Purchasing Manager. This includes the areas of special orders, backorders, defectives, and purchasing.
AUTHORITY:
- To make cost analysis decisions when pricing special orders.
- To make decisions on the return or disposal of defective stock and non-stock product returns.
- To handle all receiving problems with vendors with cost efficiency in mind.
KEY RESPONSIBILITIES:
- Expedite overdue purchase orders and bring any problem areas.
- Source, obtain quotes, cross-compare and execute the purchase of materials and services for multiple departments.
- Arrange for the return or disposal of all defective stock and non-stock product returns.
- Check inventory counts in warehouse.
- Research special order requests and provide costing on these products.
- Process purchase requisitions and create purchase orders.
- Select the most reliable and cost-effective vendors that fit the needs of the company.
- Assist in the building and development of positive relationships with vendors.
- Address and resolve shipping issues, discrepancies or delays with suppliers.
- Track and trace purchases, back-orders and maintain accurate, up-to-date reporting of ETAs.
- Support the development and implementing of purchasing and contract management instructions, policies and procedures.
- Liaise with warehouse and store managers to ensure all products arrive as ordered.
- Work with finance department to reconcile items received and facilitate payments.
- Maintain an up-to-date supplier price database and inventory usage rates.
- Actively participate in process improvements and quality improvement programs.
- Create, maintain and update documents and internal database records.
- All other duties assigned by direct supervisor.
Experience:
- Previous experience in a purchasing or procurement role preferred.
- Familiar with supply chain management principles and practices.
- Strong negotiation skills to secure pricing and terms.
- Ability to analyze data and make informed decisions.
- Excellent communication and interpersonal skills to effectively work with internal teams and vendors.
