Job description

Overview:
As the Licensing Unit Clerk, you are responsible for processing driver’s licence closeouts, identifying and reporting inconsistencies and errors made by brokers and service centre representatives related to issuing Manitoba driver’s licences, determining the authenticity of surrendered driver’s licences, and responding to enquiries from internal and external customers.
Responsibilities:
  • Processes daily close-outs from Canadian and other jurisdictions.
  • Refers files to Basic Autopac Special Services (BASS) or Identity Verification and Data Integrity (IVDI) when required.
  • Confirms that licence documents have been scanned in accordance with departmental procedures.
  • Confirms that the correct licence class was issued in accordance with departmental procedures.
  • Notifies brokers and service centre representatives (SCR) of errors.
  • Determines the authenticity of surrendered driver’s licences using working knowledge and reference materials. This may result in the licence not being accepted for exchange.
  • Processes returned photo cards, verifies customer address information and either resends the photo card to the customer or destroys it
  • Receives and distributes mail.
  • Coordinates messenger and shipping services.
  • Monitors the Licensing Unit inbox, coordinates incoming work, and adds work tasks to SharePoint.
  • Prepares outgoing letters and correspondence as needed.
  • Processes customer enquiries and requests from internal frontline departments and external agencies.
Qualifications:
  • High school diploma or equivalent.
  • Two years of experience in an office environment with one year of customer service experience.
  • Good communication skills with the ability to present information effectively to various audiences.
  • Good customer service skills with the ability to maintain a professional balance between customer and organizational needs.
  • Working knowledge of MS Office including Word, Excel, Outlook, and SharePoint.
  • Knowledge of the Criminal Code of Canada, Highway Traffic Act, Drivers and Vehicles Act, Manitoba Public Insurance Corporation Act and related regulations.
  • Successful candidates must complete IWS training and become certified.
  • Visual acuity must be correctable to 20/20 with lenses and be free of colour blindness.
