Agriculture and Fisheries Crown Lending Agencies (CLA) is a division of the Nova Scotia Department of Agriculture and administers the operational functions of the Nova Scotia Fisheries and Aquaculture Loan Board (NSFALB), Nova Scotia Timber Loan Board (NSTLB), and the Nova Scotia Farm Loan Board (NSFLB). Crown Lending Agencies consists of a dedicated team of loan officers and loan administrators supported by risk management, finance, and project teams.


About Our Opportunity


As the Loan Administration Assistant, you will work in a team environment providing legal secretarial support, loan management, file management and other operational support for the broader lending and risk teams of CLA. The Loan Administration ensures legal documentation is completed both timely and accurately, as well as ensure quality standards are adhered to and correspondence, related to the placement of loans, are in place.


Primary Accountabilities


As a Loan Administration Assistant, your key responsibilities will include, however; not are not limited to:


  • Create, track and manage assigned client loan and security files;
  • Provide specialized legal assistance to Loan Officers which includes ensuring legal and loan documents are prepared, filed and registered within prescribed deadlines;
  • Maintain communication with parties involved in loan matters – can include other government departments, regulatory bodies, private law offices, accountants, clients, Loan Officers, and management;
  • Prepare correspondence and documents of a legal and non-legal matter;
  • Prepare loan fund disbursement requests;
  • Collaborating with staff to ensure efficient and effective loan administrative processes; and
  • Other general loan administrative duties.

All duties and responsibilities are to be carried out with a high level of confidentiality.


Qualifications and Experience


A Diploma or certificate from a Paralegal, Legal Assistant, Business Administration, or related program, plus 3 years related experience in providing lending or legal administrative support or an acceptable equivalent.

Demonstrated experience and working knowledge of the more common computer programs including Microsoft Office – Word, Excel and Outlook or similar transferable programs.

Candidates for this position should also have good interpersonal written and verbal communication, and administrative understanding pertaining to contracts, mortgages, real property, personal property security and searches, as well as, lending and legal terminology.

Must have demonstrated strong attention to detail, prioritization, and organization skills.

The following are considered assets in this position:

  • Good working knowledge of loan procedures;
  • Working knowledge of the STAR/STOR central file management system or other filing systems; and
  • A high degree of initiative, problem solving and independent work habits.

Equivalency


An equivalent combination of training, education and experience will be considered. Applicants relying on education and experience equivalencies must demonstrate such equivalencies in their application.


Equivalent experience and training includes, however; is not limited to:


  • Minimum 5 years of related experience

Additional Information


This is a TERM employment opportunity with anticipated end date of March 14, 2025. The appointment status (‘term’, ‘temporary’ or ‘casual’) is dependent on the start date of the successful candidate.

Pay Grade: CL 22

Salary Range: $1,924.59 - $2,128.70 Bi-Weekly
