POSITION OBJECTIVE:
The Medical Spa Manager will be responsible for managing our Sherwood Park location to support our clinic in delivering an exceptional customer experience. The Clinic Manager ensures that overall operations are executed including, sales, social media marketing, client care and outstanding customer service.
RESPONSIBILITIES:
1. Must be able to work at both locations (downtown & Sherwood Park). This current opening is primarily at Sherwood Park location. Training and vacation coverage would be required for our other location as needed.
2. Development of performance targets and analysis of monthly and yearly goals and strategy to increase client retention and satisfaction.
3. Assist the marketing creators and 3rd parties partnerships in developing and executing marketing strategies focused on achieving financial goals, client acquisition and referrals.
4. Help manage day to day operation of the clinic, including reception, call center reservations, maintenance/quality control; including service, cleanliness, and product usage, etc.
5. Responsible for scheduling, assist with performance reviews, conflict management, business building, skill enhancement and goal setting.
6. Analyze and monitor Key Performance Indicators (sales, profits, expenses, retention, etc.) to identify trends, opportunities, deficiencies.
7. Model the brand, and its values, while always maintaining a professional image.
8. Ensure team members complete all paperwork, client forms, consents, etc. in an accurate and timely fashion.
9. Ensure staff are adhering to treatment standards and are fully executing the company’s policies and procedures. Enhance current and create new polices and procedures as per industry regulations.
10. Research and resolve client concerns promptly; share best practices regarding client retention and service with other managers so all can learn from concerns and solutions; always be customer centric and a leader within the clinic.
11. Track performance for sales activities, staff productivity and supplies/inventory.
12. Ensure team members are engaged and morale is high within the department; recognize team members for high performance daily; communicate information needed to all team members and assists in conducting staff meetings.
13. Ensure proper staffing is scheduled to maximize productivity of the clinic.
14. Assist with preparing payroll.
15. Perform additional duties as assigned.
16. Preparing financial statements, reports, memos, invoices letters, and other documents.
17. Answering phones and routing calls to the correct person or taking messages.
18. Plans for and uses resources efficiently, always looks for ways to reduce costs, creates accurate and realistic budgets, tracks and adjusts budgets, contributes to budget planning.
19. IT and software knowledge/expertise is valued.
20. Social Media Marketing and Analytics knowledge/expertise is valued.
QUALIFICATIONS:
1. Minimum of 2 years in management experience in either the med spa, medical or hospitality industry. *Must be used to a face paced environment, adaptable and has a proactive approach.
2. Knowledge of spa products, medical cosmetic procedures, and inventory management would be an asset.
3. Must enjoy sales and working directly with clients to ensure excellent customer service. Reception and Call Center is required.
4. Some flexibility in work schedule is required, such as weekends and evenings are required.
5. Medical or management related degree would be an asset.
6. Proven track record of meeting and achieving goals/targets.
7. Excellent technical/computer/social media skills.
8. Ability to create and implement such documents as staff schedules, safety protocols, operating procedures, and performance reviews.
9. Must have strong written and oral communication skills.
10. Must be able to prioritize, multi-task and have creative problem-solving skills.
11. Must be able to comply with company vaccination policy.
12. Experience and knowledge of HIPAA regulations.
