As the Military & Public Safety Sales Administrator, you'll be responsible for all aspects of order entry, timely contract administration, invoicing and order support for government, military and Public Safety diving. This role involves coordinating order fulfillment, resolving issues with dealers, and providing essential support to inside sales activities. The ideal candidate will be detail-oriented, proficient in Business Central, and possess a strong commitment to customer service.
Responsibilities
Order Entry
- Enter dealer sales orders in Business Central and address order-related inquiries.
- Email order confirmations with current shipping lead times to customers within ½ business day.
- Invoice orders and email confirmations to customers by the end of each business day.
- Manage payment details, generate payment requests, match wires, ensuring full payment before releasing orders to shipping.
- Communicate with accounting for special payment procedures and handle wire transfers.
Contract Logistics
- Monitor on-time delivery of contracts and manage contract changes, involving the Business Development Manager, sales representatives, and the shipping department.
- Support coordination of Quality reviews for contract requirements, ensuring compliant production and lot presentations.
- Coordinate cross-functional order fulfillment activities, including special orders and lead times, to ensure on-time delivery of customer-specified products.
- Ensure compliance with export customs documentation procedures for smooth processing of US and international shipments.
Digital Records Management
- Oversee the dealer of record sales program for military and professional diving, managing electronic files with CRM data, including a regularly updated catalogue of dealer contract records.
- Understand and document customer operational needs and requirements, encompassing both military and Public Safety sectors.
- Collect and furnish past procurement history and cost/pricing data to aid Business Development in providing competitive pricing quotes.
- Work with dealers to resolve contractual or technical issues, ensuring timely completion of customer repairs.
Inside Sales
- Follow up on inbound sales leads for existing and new customers.
- Provide basic product information, services, and policies.
- Coordinate sales reps' activities, including managing a demo program.
- Assist in the development of the military and Public Safety dealer management process.
- Generate weekly sales reports and outstanding order status from Business Central.
- Maintain updated information for Government Contract Quotes in the online Schedule Board.
- Demonstrate a strong commitment to customer service and support sales/marketing efforts.
Key Qualifications
- Post Secondary education in business administration, operations, or equivalent experience.
- 2 years proven experience in Customer Service environment.
- Experience in an order entry or inside sales role is preferred.
- Experience with government programs, military, or police/fire an asset but not required.
- Eligible for Canadian security clearance.
