Our client in the Manufacturing Industry is seeking a detail-oriented and organized Office Administrator to join their dynamic team. This role will be on a part-time basis with hours 20 hours a week, Monday-Friday 12:30pm-4:30pm, onsite in Fergus Ontario, for a 6 month contract.
Key Responsibilities:
- Assist in matching invoices with purchase orders and receipts.
- Code and categorize invoices accurately for accounting purposes.
- Collaborate with the finance team to ensure timely and accurate payment processing.
- Resolve discrepancies and communicate with vendors as needed
- Receive and distribute incoming mail promptly.
- Prepare outgoing mail, including packages and letters, ensuring proper postage and addressing.
- Maintain organized mailroom and filing system for easy retrieval.
- Provide general administrative support as needed, including but not limited to filing, data entry, and document preparation.
- Assist in scheduling and coordinating meetings and appointments.
- Handle phone calls and inquiries, directing them to the appropriate parties.
- Maintain an organized and tidy office environment.
- Streamline administrative processes to improve efficiency and effectiveness.
- Identify opportunities for process improvements and implement solutions.
- Collaborate with colleagues across departments to ensure seamless communication and workflow.
- Assist team members with ad-hoc tasks and projects as required.
Qualifications:
- Proven experience as an Office Administrator or in a similar role.
- Strong organizational skills and attention to detail.
- Proficiency in MS Office (Word, Excel, Outlook) and familiarity with accounting software.
- Excellent communication and interpersonal skills.
