As an Office Administrator you will be the main point of contact for activities in the London office with regards to events and facilities management. You will also be responsible for coordinating with all levels within the organization to manage and ensure a seamless experience.
HERE'S HOW YOU'LL CONTRIBUTE:
Ensure tracking and ordering of office supplies.
Welcome, greet and direct visitors in person or on the phone.
Organize contract renewal follow ups with legal, compliance, IT, HR etc.
Attend team leadership meetings and accurately maintain records and minutes.
Prepare and work on various presentations as required by management staff and customer updates.
Coordinate corporate events with home office and ensure events at the office are conducted seamlessly.
Manage and maintain events and activities around the office, anticipating issues and proactively initiating appropriate action to ensure the most effective use senior manager's time.
Organize and coordinate day-to-day activities, prioritize workflow, manage correspondence and prepare required meeting material for DS leadership team.
Being the focal point of contact in working with various stakeholders to ensure the London facility is operating optimally.
Effectively communicate with senior management, advisors, clients, and employees at all levels including third parties
Coordinate, review and submit expense reports on a timely basis using Concur and answer queries via telephone and email.
Develop and maintain an efficient documentation and filing system taking steps to ensure compliance and necessary record keeping requirements.
Participate in planning and booking in-house and offsite meetings/events of varying sizes and audiences.
Establishes and maintains effective relationships with customers and gains their trust, respect and loyalty.
Builds effective networks of contacts inside and outside the organization. Relates well to people at all levels and manages conflict.
HERE'S WHAT YOU'LL BRING:
Minimum 3+ years of administrative experience supporting senior leaders.
College diploma or equivalent level of education.
Strong sense of urgency and commitment with proactive administrative and problem solving skills
Ability to maintain a high level of accuracy, organization and confidentiality
Is highly organized and an effective communicator.
Proficiency in Microsoft 365 tools
Ability to multi-task incoming tasks while effectively managing competing priorities in a fast-paced, complex environment
Excellent verbal and written communication skills
Proficient in MS Suite (Word, Excel, Visio, Power Point and Outlook)
