Sylvite is a multinational, privately owned, business headquartered in Burlington Ontario providing critical products and services in the agricultural and transportation sectors. We are currently look for a 1 year coverage of in our Administration/CSR department in Putman, just 15 mins east of London, Ontario.
- Agriculture – Sylvite provides a full supply chain solution for crop input products such as fertilizer, seed and pesticides.
The Office Administrator will be responsible for general office duties, such as managing and maintaining data on all customer contracts, data entry, preparing cheques and invoices, mail responsibilities, answering the phones and greeting customers. The Office Administrator will also be responsible for handling the facility accounting tasks, balancing cash receipts and preparing bank deposits, and provide support to other roles within the facility as required.
Primary Tasks and Accountability:
- Manage Data entry for accurately entering all fertilizer, chemical, and see receipts
- Prepare invoices for crop protection products, fertilizer and seed purchases
- Timely and accurate invoicing retail customers for seed, chemical and fertilizer products
- Balancing inventory of crop protection products weekly and monthly
- Respond and assist customers with account inquiries, i.e. explanation of their account
- Assisting the sales staff with customer contracts, accounts, data entry
- Balancing daily cash receipts and prepare bank deposits
- Filing and sorting mail received
- Maintain office stationary supplies and order as required
- Prepare accounts payable for facility approval
- Assist in training of new staff in administrative procedures
- Assist management and sales staff with reports and presentations
- Customer Service - answer telephones and assist customers where possible; greet customers at the counter and assist where possible
- Other administrative duties as required or assigned

Secondary Tasks and Accountability:
- Managing and maintaining data on grain, organics, speciality crops and IP contracts
- Accurately enter all grain purchase contracts for retail customers
- Data entry- accurately entering all grain receiving tickets during the harvest periods
- Prepare grain settlements
- Prepare retail customer grain cheques and ensuring for accuracy, i.e. cheque issued for the correct contract, taking deductions off grain cheque if required prior to issuing cheque
- Contacting, communicating and providing transportation providers and customers with shipping information and necessary paperwork

Education, Experience and / or Training Requirements:
- 3-5 years Office Administrator related experience
- General Knowledge of an ERP program
- Diploma or Degree in agriculture, business, information systems or equivalent

- Proficiency with various computer programs, including Microsoft Office products
