Job Duties:
- Execute diverse administrative tasks to enhance office efficiency
- Coordinate shipments in collaboration with operations and warehouse teams
- Schedule trucking services and regularly update the sales team on bookings
- Input Purchase Orders accurately, following management instructions
- Oversee office supplies and warehouse inventory management
- Generate invoices using QuickBooks and support management in accounts payable and receivable tasks
- Manage phone calls by answering, directing, and relaying messages, providing information to callers
- Welcome and assist visitors with professionalism and a friendly demeanor
- Organize incoming and outgoing mail, ensuring efficient mailroom operations
- Maintain organized filing systems to facilitate easy document retrieval
- Contribute to training development and assist in coordinating employee onboarding
- Support human resources tasks, including maintaining employee records and processing paperwork
- Assist in budgeting and financial activities, such as expense tracking and report preparation
- Coordinate staff meetings, appointments, and travel arrangements
Experience:
- Previous experience in an administrative role is preferred
- Accuracy in Data Entry, Frequent Use of Excel, Gsuites(Emails, Chats)
- Proficiency in using QuickBooks for financial management tasks
- Strong clerical skills, including data entry, filing, and record keeping
- Excellent communication skills, both written and verbal
- Ability to prioritize tasks and manage time effectively
- Familiarity with office equipment, such as printers, scanners, and phone systems
- Basic knowledge of training development processes is a plus
