The Role

Busbud is looking for an energetic and detail-oriented Office and Events Coordinator to support our Montreal office and remote team across the Globe. This person will manage office operations, procedures and events, maintain the general upkeep of our Montreal office and support IT & HR.

The successful candidate will support the leadership, management, and People & Culture team with varying projects and initiatives and act as a point of contact for the office day to day. We are looking for someone that is a problem solver, a critical thinker and someone that can take ownership and make decisions independently. This hybrid role requires 2-3 days a week in our Mile-end office but provides lots of flexibility!

What you can expect from this opportunity
  • Organize and coordinate office operations and procedures
  • Establish and implement office procedures and practices
  • Maintaining the general upkeep of the premises
  • Carry out routine checks to ensure safety and security
  • Attend to general issues and fix simple problems
  • Monitor office supplies inventory and place orders accordingly
  • Monitor office expenditures and handle all office contracts
  • Assist in vendor relationship management
  • Track inventory and manage all shipping and retrieving of company hardware/equipment
  • Supporting management and leadership team with monthly, quarterly, annual and ad hoc reporting and presentations
  • Provide administrative support to the people & culture team and work with them on employee wellness and employee success initiatives
  • Coordinate all team/candidate Global travel arrangements, including insurance and travel documents such as visas or passports, and serve as a point of contact
  • Manage events & create events calendar: Hackathon, Global leadership Summit, Leadership/Board meetings, Annual retreat, holiday events, Busbud anniversary etc.
  • Work hand in hand with the social committee to manage & plan regular employee social events
  • Track and ship all company awards, milestone gifts, and employee gifts, as well as work with the team to innovate and align offering to our values.
  • Manage company swag for onboarding, anniversaries and awards
How can you impress us?
  • Two years of proven experience as an administrative professional or Executive Assistant
  • Previous experience planning events in the workplace
  • Outstanding knowledge of MS Office Suite / Google Suite
  • Working knowledge of office equipment (scanner, printer, etc.)
  • Excellent communication and interpersonal skills
  • Organized with the ability to prioritize and multi-task
  • Reliable with patience and professionalism
  • Proactive, resourceful
  • Experience in a startup environment is a plus
  • Associate’s/College degree; BSc/Ba in business administration or relevant field is a plus
  • Bilingual FR/EN is an asset
  • Must be located in Montreal to support the local office
