We are looking for an Operations Assistant, Walker Aggregates at our Niagara location.
Operations Assistant
Reporting directly to the Administration Supervisor, the Operations Assistant will be performing a variety of administrative, clerical and financial duties within our new Oracle Business Management System to support the Aggregates operations in Niagara. This will include verifying and executing invoicing, performing data entry and generating reports at the request of managers. In addition, you will create work orders and purchase orders for Aggregate Niagara division mechanics to ensure the work is being performed as scheduled and expedite payment processes from accounting.
Primary Responsibilities
- Coding and tracking invoices and purchase orders to ensure timely and accurate billing information. Signs invoices as authorized to ensure timely payment.
- Analyzing selected operational costs as required; investigate and report on significant variances.
- Assists Operations personnel with contacting customers, contractors and suppliers, in support of site management.
- Monitors, maintains and updates an equipment information database to ensure equipment maintenance is being performed on a timely basis.
- Enters daily production from the aggregate sites and monitors inventory levels.
- Reconciliation of inventory counts against the database and outstanding work orders to ensure accurate levels of supplies.
- Performing additional administrative duties such as filing, scanning, tracking expenses, and preparing documents and reports, etc to assist in the smooth running of the department.
- Creating work orders for Aggregates Niagara division mechanics to ensure the work is being performed as scheduled. Close off and file work orders when completed; ensure work orders are filed in their proper location on both the maintenance and production side.
- Creating purchase orders for Aggregates Niagara division mechanics to expedite payment process from accounting.
- Conducting weekly meter readings of equipment from operator inspection reports, maintain fuel dips and keep track of usage on monthly spread sheet and in Oracle.
- Assisting in physical counts and reconciling of shop inventories against the database and outstanding work orders to ensure accurate level of supplies.
- Entering new preventative maintenance schedules and monitor those schedules for compliance, to ensure equipment maintenance is being performed on a timely basis.
- Acts as a liaison for hourly employees to ensure their inclusion to Company information.
- Other duties as assigned.
Qualifications
- 3+ years’ experience in data entry
- Minimum high school graduation (or equivalent). An additional three-year college diploma would be an asset.
- A valid “G” Registration Ontario Driver’s License.
- Numeric skills to analyze, evaluate and formulate accurate invoice costs.
- Demonstrated levels of customer service, interpersonal and communication skills to promote and foster relationships with existing and potential customers and industry associates.
- Advanced computer skills to produce reports, documents, proposals and presentations as required. Working experience in Oracle Business Management System is an asset.
- Highly detail oriented to ensure work is done correctly and thoroughly.
- Demonstrated professional manner, tact, diplomacy and discretion in dealing with colleagues and senior management.
- Knowledge of aggregate industry and maintenance programs is an asset.
