Job description

IATSE Local 891 is a labour organization representing over 10,000 professional artists and technicians working in nineteen (19) different departments in the British Columbia and Yukon film industry. The skills, professionalism and world class reputation of IATSE 891’s members attract film and television producers from across the globe.

We are seeking an Organizing Coordinator to join our team.

Primary Function:

Reporting to the Senior Manager of Finance and Administration and up to the President while taking regular direction from the Business Representative. The Organizing Coordinator provides day-to-day administrative support for the Organizers in union organizing for IATSE 891.

Duties and Responsibilities:

  • In collaboration with the Business Representative and the Organizing team, works to achieve the strategic objectives of IATSE 891 as it relates to organizing.
  • Assists with the planning for future external organizing events, drives, initiatives, and workshops.
  • Conducts general communication with film workers, responds to basic inquiries, and liaises with internal and external stakeholders to exchange relevant information.
  • Assists with planning and organizing trips, including scheduling, travel arrangements, submitting receipts, and other related tasks.
  • Maintains and organizes the Organizing department's financial records (receipts, invoices, reports, reimbursements, etc.), contact lists, institutional documents, resources, policies, and forms using IATSE 891 data management systems.
  • Updates the organizing production summary using specialized software (Air Table).
  • Conducts daily research concerning film organizing in BC, Canada, and the US.
  • Conducts research under the direction of the Lead Organizers.
  • Updates the BC Labour Relations Board Tracking Spreadsheet that allows the Organizers to follow more significant trends in organizing across BC.
  • Compiles and maintains documents to support membership evidence requirements of the BC Labour Relations Board.
  • Draft relevant legal documents and forward them to Organizers for approval.
  • Coordinates organizing events with the ordering and distribution of swag.
  • Orders and manages inventory of organizing supplies.
  • Provides general administrative support, collaborates and communicates directly with appropriate departments.
  • Has an in-depth understanding of the internal operations and seeks clarification when required.
  • Uses the IATSE 891 database, shared network drive, and MS Office Suite (Outlook, Excel, Word).
  • Conduct other administrative duties as assigned.

Qualifications:

  • Minimum one year of experience organizing processes under the BC Labour Relations Code.
  • Post-secondary educational background in Labour Studies, Legal or Paralegal.
  • Comprehensive knowledge of MS Office Suite (Outlook, Word, Excel).
  • Comprehensive knowledge of Adobe Sign software to send, receive, and catalogue digital representation cards.
  • Highly organized with the ability to prioritize work and establish a logical workflow.
  • Strong attention to detail and accuracy.
  • Persistent and committed to following tasks through to completion.
  • High level of discretion when handling confidential/sensitive information; understands basic privacy legislation principles.
  • Ability to work diligently in a fast-paced environment with minimal supervision.
  • Able to work independently and work collaboratively with a strong team.
  • Possesses an eagerness to learn, adapt, and improve processes by researching and suggesting new ideas.
  • Ability to multi-task, goal-set, and problem-solve, often under tight deadlines.
  • Polite and professional written and verbal communication skills.
  • Ability to synthesize and organize data on complex corporate structures and industry trends.
  • Experience or familiarity with supporting internal organizing and membership development campaigns is an asset.
  • Experience with collective bargaining, contract negotiations, and working in a unionized environment is an asset.
