Job Description:
Reporting to the Manager of Employment Services the incumbent is responsible for and provides administrative support for the department’s Employment Services contracts. The incumbent coordinates communication with employment centre staff and coordinates all necessary operations to ensure seamless program delivery. This position is responsible for day-to-day administrative activities including front-desk reception, scheduling client appointments and making follow-up calls. In addition, the incumbent’s role is critical in the coordination of the department’s annual budget, including quarterly reviews, office inventory orders, and supporting the College financial year-end processes. This position is located in Perth, ON and is off-Campus at Community Employment Services.
Duties and Responsibilities:
Administrative and Operational Support
  • Coordinates administrative duties with Employment Consultants, on a daily basis, including support for receipt of referrals, client scheduling and data management;
  • Provides front-desk support, answering incoming calls and emails, conducting appointment reminder calls, and responding to general public inquiries;
  • Provides administrative support to the CES Manager, including meeting minutes, scheduling and event support;
  • Monitor funder portal for incoming client referrals and action/process appointment bookings within contract timelines;
  • Maintain resources and contact lists for community services and committees;
  • Maintain office supply inventory and complete orders;
  • Verify monthly data reports, reconciling against monthly activities and identifying any discrepancies;
  • Support Employment Consultants with client support payments and purchases;
  • Creates and enters client data in the internal CRM, ensuring data is accurate;
Financial Monitoring and Reporting
  • Ensures that all financial data is properly captured, classified and reported according to Funder policies and procedures;
  • Maintains assigned cost centers and accounts;
  • Verify, monitor, process and submit the departmental credit card expense reports on a monthly basis;
  • Reconciles accounts and cost centers to ensure accuracy of financial information;
  • Reviews expense reports for accuracy and completeness;
  • Resolves discrepancies and other financial issues with staff from Financial Services;
  • Monitors the financial activity of externally funded projects, prepares and maintains detailed documentation of funding allocations, contracts and expenses, processes payments, and provides status update reports;
  • Provides guidance and assistance to administrative and support staff on various budgetary and financial matters.
Requirements:
  • Minimum three (3) year diploma/degree with a focus on Business Administration or related field;
  • Minimum three (3) years previous experience in client/customer support with strong communication skills and previous experience managing budgets, completing financial reconciliation and compiling financial reports;
  • Advanced knowledge of Microsoft products;
  • The ability to independently organize time and priorities in order to meet conflicting and concurrent deadlines in a rapidly changing environment is key to this position.
