Propane Dispatcher – Permanent

About our client:

Our client is a trusted supplier of the highest quality Redi-mix concrete, construction materials, commercial fuels, and home heating.

The Propane Dispatcher is part of a team of dispatchers responsible for all activities involved in effectively executing daily propane deliveries to our customers in the most efficient manner possible. Each Dispatcher is responsible for the annual delivery of approximately 25m liters of propane to customers in a large geographic territory across northern Ontario.

What you will be doing as a Propane Dispatcher:

  • Maintain/improve our high level of customer service by ensuring safe, timely and cost-effective delivery to our customers, coordinating with our team of drivers, sales, service and management
  • Monitor delivery software for customers on “automatic” fill program, “OTOData System”
  • Plan and organize “will-call” deliveries and dispatch accordingly
  • Work with sales and large customers to plan out demands, scheduling their deliveries etc to ensure no product shortages or issues
  • Daily: answer phones; receive orders from customers, prepare delivery data and dispatch deliveries and drivers
  • Ensure the daily import of deliveries is performed between our dispatch system, Digital Dispatch and our ERP Navision system for timely invoicing to our customers
  • Utilize the GeoTab (GPS) and Navision software to reference conversations with clients, their site locations, equipment and refueling requirements
  • Receive COD delivery requests, prepare credit card preauthorization utilizing template, monitor delivery and once complete forward dollar value of actual amount of propane delivered (invoice amount) to AR/Credit Team to process actual payment
  • Through regular communication, provide excellent customer service to our customers for all their propane requirements, communicating both positive and negative occurrences
  • Keep the sales team updated when customer requirements change or any significant issues; report any non-service issues immediately to service
  • Enter sales leads into CRM or directly transfer calls to inside sales rep
  • Provide assistance and direction to drivers regarding routes, equipment utilization & customer requirements
  • Escalate any customer service issues to local Market Manager as issues arise
  • Ensure customer account information is accurate and current, including the calculation of fill frequency dates.
  • Enter product line information onto all new customer accounts; calculate fill frequency dates and record
  • Utilizing Digital Dispatch map and schedule truck routes for next day deliveries
  • Run “Autorun Report” to determine appropriate degree day fills; analyze data to properly determine fills. Escalate to local Market Manager any questions or inconsistency with data
  • Daily check and verify drivers’ hours for accuracy
  • Maintain an excellent relationship with customers, drivers and other employees
  • Liaise with the credit department and sales any billing issues, including customer related charges, outstanding cash/credit card deliveries or credit issues

Perform other related duties as assigned

What you should have as a Propane Dispatcher:

  • Intermediate to advanced computer software skills
  • Highly organized, efficient, able to perform a variety of tasks simultaneously
  • Time management skills, high sense of urgency
  • Ability to analyze situations quickly and effectively and make sound decisions
  • High level attention to detail
  • Ability to read maps and relay directions
  • Operation of current communication and dispatch equipment
  • Ability to apply common sense understanding to carry out instructions
  • Minimum Grade 12 Diploma or graduation from a recognized Business Administration course
  • Post-Secondary education in a logistics program and/or combined industry experience is desirable
  • Training in Emergency Spill Response and Safety & Compliance would be an asset
  • Minimum of 5 years related or equivalent job experience
  • Previous experience with a high-paced call centre/customer service/dispatch role is required
  • Logistics/distribution industry experience desirable

What you will receive in return as a Propane Dispatcher:

  • $45,000-60,000

The Schedule You Will be Working Is:

  • Dispatch hours vary based on seasonal requirements.
  • Hours could range between 6 am until 9 pm, may be longer in the winter months.
  • The hours may be split between an early shift and a later shift and may include weekends.
  • Occasional overtime maybe required for month end tasks or special projects.
