We have an upcoming requirement for an experienced Purchasing Department Coordinator. This is a remote-working role with a 12-18-month contract.

In the dynamic and critical contract position as the Purchasing Department Coordinator, the successful candidate will play a pivotal role in maintaining the efficiency and reliability of our supply chain operations. Key responsibilities include daily communication with Canadian, USA, and International Vendors to resolve purchase order discrepancies, such as pricing and quantity issues and managing problem reports across customer service, sales, warehouse, and other fulfillment departments. This role demands a proactive approach to providing solutions, including arranging replacements or credits, and requires exceptional attention to detail in managing defective lists and processing weekly purchase orders through our system.

The Purchasing Department Coordinator is essential in creating and maintaining Vendor deadlines to meet customer needs, collaborating closely with the purchasing team, and ensuring seamless communication with customer service, sales and the warehouse regarding timelines, ETAs, and deadlines. This position also involves significant responsibility for inbound and outbound freight management, including tracking orders, managing freight portals, and ensuring timely customer deliveries. The ideal candidate will excel in a fast-paced environment, focusing on vendor relations, problem resolution, and maintaining accurate records and reports to support operational efficiency.

A day at work looks like this:

  • Daily management of emails and follow-up with vendors to address and resolve challenges
  • Actively managing and resolving problem reports from customer service, sales, and the warehouse, including issuing replacements or credits.
  • Overseeing defective lists, including communication with vendors for resolutions and updates, and managing the processing of weekly purchase orders
  • Ensuring timely communication with vendors and internal teams regarding ETAs, backorders, and special-order requirements.
  • Managing inbound freight logistics, including tracking, paperwork, and carrier coordination
  • Supporting the purchasing team and maintaining up-to-date records and reports in our system to facilitate smooth supply chain operations

  • 2–3 years of purchasing or industry experience
  • Experience corresponding with suppliers
  • Positive, customer service-oriented mindset
  • Professional verbal and written communication skills and strong interpersonal skills
  • Ability to process a high volume of incoming emails daily
  • A tenacious problem solver with exceptional follow-through who won’t give up until a solution is found
  • Experience with Microsoft Dynamics GP (an asset), Internet, Zoom, Office, Word and Excel
  • Knowledge and familiarity with Wintergreen products and our website
  • Ability to multitask in a fast-paced environment
  • Excellent organizational skills
  • Willingness to work closely with peers in a collaborative work environment
  • Self-motivated and an independent problem-solver with a dedicated work ethic
  • High degree of independence as this is a remote working position
  • 12-18-Month contract position covering maternity leave
