Referral Coordinator
Department: Operations
Reports To: Director, Clinic Operations
Location:Working remotely but with training and development days in the Vancouver or Surrey office when required. (Remote work may not be permanent and will be assessed as needed).
Work Schedule: Monday to Friday
· 7.5 hours per day/37.5 hours per week
Overview:
Supporting the Vision, Values, Purpose, and Commitment of Olive Fertility Centre:
Reporting to the Director, Clinic Operations, the Referral Coordinator is pivotal to the organization – this being the first voice and first face many of our new patients will see.
Key Areas of Involvement Include:
Referral Coordinator
· Triaging new referrals to determine what testing patients need to complete prior to consultation.
· Calling or emailing patients to obtain their history and determine testing.
· Booking new patient consultations for specific physicians based on patient history.
· Uploading all patient requisitions and managing patient portal access
· Sending out Welcome emails and assisting patients with initial testing
· Participate in departmental meetings and in-service education sessions as required.
· Perform other related duties as assigned.
Qualifications:
Education, Training and Experience:
· Grade 12 graduation
· Minimum of two (2) years related experience.
Skills and Abilities:
· Polite and friendly demeanour
· Quick with tasks and accurate
· Proficiency with answering multi-line switchboard without losing calls or missing calls.
· Ability to discuss intimate topics related to infertility in a professional, compassionate manner.
· Professional, friendly demeanour that can effectively defuse difficult situations and put patients at ease.
· Ability to communicate effectively both verbally and in writing.
· Ability to work independently and as a member of a multi-disciplinary team.
· Demonstrated ability to organize and prioritize work in an environment subject to changing deadlines, stress and interruptions
· Proficiency in the use of personal computers and applicable software applications
· Physical ability to carry out the duties of the position.
· Punctual – ready and physically performing required tasks at the start of each shift.
· Excellent attendance record
· Ability to speak and write fluently in English.
Job Type: Full-time
Salary: From $27.00 per hour
