This philosophy follows the principles of finding housing accommodations first and then establishing the supports required by the client to remain in a home. Position Summary


The Rental and Finance Administrator is responsible for the day-to-day coordination and administration of the tenant billing & accounting operations, associated functions, and related activities in accordance with billings and transactions.

This position reports to the Manager of Accounting with a dotted line reporting to Housing Operations. As a member of the Finance and Housing Operations teams, the Administrator interacts with all levels of staff and liaises with contracted organizations and agencies, tenants of managed properties, and other stakeholders involved in the housing and property management requirements of the business.


Duties & Responsibilities


  • Maintain and update tenant's and property records using Yardi software.
  • Charge and post rent, collect rent, post, and apply payments, follow up on arrears, report on arrears and activity to collect monthly.
  • Monitor tenant payments and update accounts receivable - provide advance reminders to tenants with outstanding balances.
  • Apply maintenance chargebacks to tenant ledgers as directed by the Property Manager.
  • Prepare the following documents:
    • Arrears letters.
    • Security deposit refunds.
    • Rent increases.
  • Update tenant contact lists, rent roll, and other reports as requested.
  • Coordinate with other team members to invoice tenants for maintenance items that need to be charged back to tenants or programs.
  • Other duties as required.


Qualifications


Education & Experience

  • Degree or diploma in business administration (accounting), commerce, or related field is preferred.
  • Minimum 2+ years of experience in rental housing, residential construction or related industry is preferred.
  • Combination of experience and formal education will be considered.
  • Previous work in non-for-profits, the human services industry or housing is an asset.


Knowledge, Skills, & Abilities

  • Strong organizational, coordination, administration, and planning skills.
  • Excellent interpersonal skills with the ability to deal sensitively and appropriately with a variety of people, both in-person and over the phone.
  • Demonstrated self-starter with proven time management and organization skills and the ability to work independently and utilize sound judgement to perform all assigned duties with minimal supervision.
  • Proactive problem solver with good judgement with the ability to make sound decisions in a timely manner.
  • Able to establish and maintain effective working relationships with coworkers, clients, and community agencies.
  • Able to prioritize and work on multiple tasks and projects at once in a fast-paced work environment with many interruptions.
  • Effective task management skills with the ability to organize, track, flag and file tasks as they come due.
  • Proficiency with a variety of software programs, Yardi, Microsoft Office (Word, Excel, Outlook, Powerpoint), contact management and database programs, and the ability to effectively use the internet and other electronic resources.
  • Sound working knowledge of residential property and tenant management.
  • Able to exercise discretion, compassion, and empathy, and maintain confidentiality.
  • Able to establish and maintain effective working relationships with coworkers, tenants, contractors, clients, and community agencies.
  • Experience working independently in a fast-paced environment with competing demands and frequent tight timelines.
  • Basic working knowledge of the non-profit sector, especially organizations working on homelessness and housing in Edmonton.
  • Knowledge and understanding of Indigenous culture and traditions and ability to work with culturally diverse people.
  • An awareness and sensitivity to the plight of individuals experiencing homelessness, as well as the need of vulnerable sectors is an asset.
