FWS Group of Companies is a fully integrated design, engineering, construction, and maintenance services firm. We are advocates of the design-build approach to project development. To add to this expertise, we are recruiting for a Senior Administrative Assistant for our Winnipeg office location, to join our collaborative and team focused organization.

As our Senior Administrative Assistant, you will provide senior-level administrative support to one or more individual(s), or department(s), demonstrating a high level of organization, proficiency in time management and a commitment to maintain confidentiality.

Position Overview:

  • Generates a diverse array of documents, encompassing correspondence, memos, reports, presentations, agendas, and meeting minutes.
  • Develops, implements, and revises organizational policies and procedures to ensure optimal operational efficiency.
  • Produces comprehensive and meticulously structured reports tailored for both internal and external stakeholders.
  • Drafts and refines technical documents and manuals with a focus on precision and clarity, ensuring effective communication.
  • Maintains documentation integrity by promptly updating materials to accurately reflect changes in processes or procedures.
  • Assists in coordinating and executing various projects, undertaking research, and preparing reports to contribute to organizational objectives.
  • Provides guidance and support to fellow Administrative Assistants and various departments as needed, fostering a collaborative work environment.
  • Efficiently manages schedules and coordinates meetings, ensuring seamless coordination.
  • Attends internal meetings, transcribing minutes promptly to facilitate effective communication and decision-making.
  • Manages confidential information with discretion and upholds meticulous record-keeping practices.
  • Assists in monthly job progress and profit reporting, actively tracking and charting job costs for comprehensive financial oversight.
  • Coordinates travel arrangements, including flight bookings, vehicle rentals, and hotel reservations, optimizing logistical efficiency.
  • Contributes to the preparation of subcontracts and assists in creating construction schedules to support project management.
  • Undertakes additional office responsibilities as assigned, demonstrating adaptability and an initiative-taking approach to duties.

Qualifications Needed:

  • Certificate, diploma, or degree in business administration, or an equivalent combination of education and experience, will be considered.
  • Minimum of 5 - 10 years of hands-on experience in administrative functions is strongly preferred, emphasizing the need for a seasoned professional with a proven record.
  • Expertise in both report writing and technical writing, highlighting the ability to articulate complex information with precision and clarity.
  • Proficient in Microsoft suite software.
  • Possesses excellent organizational skills, ensuring meticulous attention to detail in tasks such as scheduling, record-keeping, and problem-solving.
  • Effective communication skills, crucial for effective interaction with team members, executives, and external stakeholders.
  • Any accounting and/or construction-related experience background will be considered an asset.
