Halifax Regional Municipality is inviting applications for the full time, permanent position(s) of Support II - Courts in Halifax Regional Police. This is a bargaining unit position. Under the supervision of the Sergeant in charge of the Court Unit, the incumbents in the Support II- Court position provides support to all sworn members and civilian staff in order to expedite court documentation in a timely fashion, while at all times respecting the confidential nature of the position.

DUTIES AND RESPONSIBILITIES:
Court Informations:
  • Receives written instruction of the charges that must be typed and laid
  • Verifies the information by checking the sections on the Criminal Code
  • Verifies personal data on the accused person and ensures the appropriate charge is laid
  • Prepares and types all legal documents that formally charge (court informations) an individual by reviewing files and obtaining the correct charge to fit the crime that is accused
Subpoenas
  • Receives and prepares Subpoena files and ensures personal data on witnesses is correct; ensures the proper paperwork is attached to the subpoena
  • Adds a Versadex entry, all files that have had subpoenas issued on and lists all witnesses
  • Liaises with the Crown Prosecutors the Summons Officers and the investigating officers to ensure the correct witnesses were subpoenaed.
  • Prepares last minute emergency subpoenas
  • Enters onto a spreadsheet the dates of officer’s court cases for court while on vacation financial tracking purposes
Records Checks
  • Provides local records checks and records checks on CPIC for all parties accused of a criminal offence
Other related duties as required
  • Responds to requests from the Court Administration Office: verifying information, requesting dates of when accused parties are attending court, replacement information to be typed
  • Responds to requests from the Crown Attorney’s Office: dealing with witness subpoenas, trial notifications and witness cancellation letters, contact information for officers, photocopies of lost files, having replacement information completed on a file
  • Responds to requests from police personnel: replacing lost subpoenas, checking on correct dates, looking for a court file
  • Responds to requests from the public: Witnesses or Accused requesting information on their file
  • Types court on vacation review requests
  • Prepares and types the following documents: Summons to the Accused, Notice to Parents, and Warrant of Arrest to be forwarded to the Justice of the Peace for signature
  • Review trial notifications letters and prepare subpoenas
  • Review court cancellation notice and notify officer

QUALIFICATIONS
Education & Experience:
  • Grade 12;
  • Legal Secretarial certificate or equivalent experience;
  • One or more year’s experience in data entry
  • Able to type a minimum of 45 words per minute
Technical/Job Specific Knowledge and Abilities
  • Knowledge of:
    • Criminal Code of Canada
    • Provincial Statutes
    • Municipal Statutes
    • Court procedures
    • Motor Vehicle Act
  • Working knowledge of MS Word, Excel, Versadex and JEIN
Security Clearance Requirements: Candidates being considered for the position of Support II - Courts must successfully meet the security clearance requirements administered by Halifax Regional Police.

WORK STATUS: Full time, permanent
HOURS OF WORK: Hours of work are Monday – Friday, 7:00 a.m. – 3:00 p.m. (35 hours per week), in an office environment.

SALARY: $25.70 per hour as per the Agreement between the Halifax Regional Municipality and NSGEU Local 222.
WORK LOCATION: 2 Chapman Street, Dartmouth.
