Under the direction of the Manger of Care/DOC/Convalescent coordinator the Unit Clerk performs clerical, reception, staffing, secretarial and data collection functions related to nursing. This is a TEMPORARY FULL-TIME POSTING, until return of incumbent.
The Unit Clerk is an integral member of the Menno Place team and is required to have a commitment to the vision, mission and values of Menno Place while ensuring safety for residents and staff. In performing duties, Unit Clerk will follow Menno Place policies and procedures ensuring the provision of Resident and Family Centred Care (RFCC) while safeguarding staff and residents.
This position requires teamwork, communication, and cooperation. It is the expectation that the individual in this position contributes to a positive, safe working environment, takes instruction well and cooperates with their supervisor and co-workers. This person manages their time well and participates in continuous quality improvement of services provided.
DUTIES & FUNCTIONS:
- Provides reception functions by receiving visitors, answering inquiries and telephones, providing information and directions. Refers all resident condition inquiries, problems, and complaints to the appropriate authority.
- Performs clerical duties such as data entry, filing, compiling, preparing, and maintaining statistics including related reports, delivering, and picking up items; maintains unit stationery and supply levels by monitoring stock, requisitions, or stationary orders, completing equipment repair or maintenance orders as directed.
- Sets up and maintains resident records and carries out other clerical tasks in the process of admissions, transfers, and discharges, faxing, photocopying etc.
- Records statistical data ( ie adding diagnosis to PCC, saving documents in PCC etc)
- Submits requisitions and help client/families to set up external medical appointments.
- Conducts routine chart audits - 3-month post admission and annual.
- Lab day prep assist under direction of nurse and checking Execlleries for results.
- Report preparation using Microsoft Office, Outlook Express, and Excel
- Daily safety, security, resident information (admissions, discharges, transfers) emails.
- Prepares for Family and other meetings by booking rooms, informing those attending and ordering catering.
- Archiving of charts for those residents who are deceased/transferred/discharged.
- Annual assistance with Pre-Printed and Immunization/Flu Order Protocols to Physicians.
- Performs other related duties as required.
QUALIFICATIONS
Education, Training and Experience
- Successful completion of an approved Unit Clerk program
- Grade 12 plus the equivalent combination of education, training, and experience to perform above duties and functions.
- Completion of an approved medical terminology course an asset.

Required: Criminal Record Check, TB immunization, COVID-19 immunization and Influenza immunization. On the job training provided.
