Volunteer Resources Assistant – Volunteer & Community Resources
Temporary Full Time (14 months)

The Volunteer Resources Assistant role provides support for all stages of the volunteer management cycle including recruitment, screening, selection, onboarding and training, recognition, development, evaluation, and reporting. Volunteers play an integral role across our multi-site organization in delivering a world-class patient experience. In collaboration with the Volunteer Coordinators, the Assistant ensures for an exceptional volunteer experience by creating a professional, supportive, and welcoming atmosphere, establishing Mackenzie Health as a workplace of distinction for our volunteers.

The Volunteer Resources Assistant reports to the Director, Learning & Volunteer Resources and provides support to the team related to administrative duties and planning for volunteer appreciation events and projects. The Assistant works with various internal and external stakeholders to ensure a positive experience for patients, visitors, and volunteers.

What must you have?

  • Completion of a relevant university/college program or equivalent working experience and education.
  • Minimum 2-years experience in an administrative role.

  • Excellent interpersonal skills with an ability to work effectively with internal and external stakeholders at all levels.
  • Experience supporting a large volunteer program.
  • Advanced experience with databases and scheduling systems required.
  • Advanced literacy in software and digital applications MS Office Suite (SharePoint, Outlook, Word, Excel and PowerPoint), Survey Monkey etc.
  • Effectively uses and embraces technologies to support and enhance department functioning to meet goals and objectives
  • Strong customer service skills with an ability to effectively manage multiple and competing priorities.
  • Strong written and verbal communication skills and a professional telephone manner.
  • Able to work effectively independently and as a member of a team in a busy and dynamic environment.
  • Demonstrated initiative, high degree of accuracy and ability to handle a complexity of tasks simultaneously.
  • Excellent organizational, planning and coordination skills.
  • Collaborative and solutions focused.
  • Strong problem solving and judgement skills.
  • Self-directed, detail oriented and dependable.
  • Able to maintain confidentiality.
  • Ability to respond to a changing environment requiring flexibility with respect to work assignments and working hours.
  • Proven attendance record.
  • Demonstrates understanding and complies with patient and staff safety policies and procedures that foster a safe and inclusive environment for all.
  • Ability to perform the essential duties of the job.
