Job Summary

Reporting to the Manager, Patient Experience and Volunteer Resource Office.
Under the direction of the Manager, Patient Experience and Volunteer Resource Office, the Volunteer Specialist is responsible for the implementation and evaluation processes for the day-to-day management of volunteers and the volunteer program.
The Volunteer Specialist will function with a high degree of attention to detail, quality of workmanship, accuracy and ability to prioritize work in a dynamic, fast paced, team setting often working with competing priorities. The Volunteer Specialist is committed to providing the best possible experience to our patients and their families as well as our staff, physicians and volunteers.

Qualifications

  • Undergraduate degree in Human Resources or related discipline preferred.
  • Certificate in volunteer management an asset.
  • Courses in management and leadership a definite asset.
  • Minimum of 3 years’ related experience in healthcare setting required.
  • Proven experience with volunteer management.
  • Experience engaging with all levels of personnel.
  • Previous on-the-job computer/word-processing, database and spreadsheet software experience required.
  • Proficiency in working with Microsoft Office 365, Excel, PowerPoint, Visio and Outlook required.
  • Ability to manage data to produce statistics, metrics, scorecards and reports required.
  • Demonstrated skills in training and delivery.
  • Excellent leadership skills.
  • Demonstrated interviewing, communication and public speaking abilities.
  • Ability to perform duties in a professional and courteous manner and produce high quality work while meeting deadlines in accordance to Southlake Regional Health Centre standards.
  • Adept in the use of technology to support program functions.

As a condition of employment, you are required to submit proof of COVID-19 vaccination to the Hospital’s Occupational Health and Safety department. Primary Responsibilities

  • Screens potential volunteers and co-operative high school students.
  • Interview appropriate candidates.
  • Conduct and record professional reference checks.
  • Ensures all onboarding documentation is completed prior to placement (e.g. health surveillance, vulnerable sector).
  • Orients volunteers and co-operative education students.
  • Assists with the preparation of manuals and handbooks for training and orientating volunteers.
  • Conducts volunteer training sessions as required (i.e. orientation).
  • Administration
  • Administrator for the volunteer information system.
  • Co-ordinates and develops appropriate volunteer schedules with the volunteer liaison utilizing the volunteer information system.
  • Provides support to ensure appropriate placement and responsibility of volunteers in areas of assignment.
  • In conjunction with the volunteer liaison for each program, guides, motivates, coaches and empowers volunteers.
  • Fosters positive and supportive relationships between staff and volunteers.
  • Initiatives corrective action and/or termination as necessary in partnership with the volunteer liaison.
  • Prepares and maintains documents such flowcharts, graphs, surveys, program metrics, statistics, reference guides, tracking tools, and presentation materials.
  • Assists in the development of departmental goals and objectives, quality indicators, policies and procedures that support the purpose, values and strategic goals of Southlake and are supportive of, and integrated with, the goals of individual departments and services.
  • Maintains databases for program metrics and prepares preliminary reports.
  • Monitors status of projects and meeting tasks.
  • Assists in the organization and coordination of events, activities, and surveys (e.g. Volunteer Appreciation Week).
  • Actively networks with peers in other healthcare organizations and the community to keep abreast of industry practices.
  • Serves on hospital and community committees, as appropriate.
  • Attends staff meetings, in-services and administration meetings when necessary.
  • Other duties as assigned.
