Job description
- Maintain up-to-date, complete and systematic filing system to support Financial Controller and financial records
- Monitor tobacco accounts weekly
- Maintain Vehicle expense report
- Monitor gas cards and gas receipts
- Maintain tracking sheet for all gas receipts
- Verify packing slips
- Price checks weekly
- Track and maintain customer contracts
- Balance Till daily
- Check cheese bills weekly
- Fax and email Special Sheet weekly.
- Answer the phone
- File unpaid yellow invoices
- File paid yellow invoices
- File pink invoices
- File AP invoices
- Prepare road-sheets for Sales Representatives
- Prepare and balance cash outs
- Post and balance all transactions for Accounts Receivable
- Bank deposits daily
- Monitor accounts to ensure payments are up to date
- Perform collections duties – making collections calls, emailing clients.
- Go to post office if required
- Go to Bank daily
- Assist customers
- Respond to customer inquiries regarding their accounts
- Prepare period AR sensitive report when required
- Email statements to customers as requested
- Monitor signed copies of invoices for Bands and Tobacco
- Bi-annually move AR files to storage boxes and maintain filing system in storage room
- Annually move AP files to storage boxes
- Must be efficient in ability to research and resolve any billing or collection disputes
- Assist all other departments in various tasks
- Light cleaning duties
- General duties as needed
Minimum Requirements
- At minimum 1 years’ experience in an administrator position
- Accounting related field is preferred
- Proficiency in MS Office, Excel and Word and internal accounting systems
- Capable of performing accurate data entry with keen attention to detail
