We are currently seeking a talented Administrative Assistant to join our team at ECCO
Manufacturing in Calgary, AB. The Administrative Assistant will be responsible for providing administrative and customer service support for ECCO Manufacturing. This role involves regular communication with various departments to ensure the correction of any problems, discrepancies, or anomalies. Additionally, the role requires processing freight payables with a high level of accuracy and efficiency in a high-volume department.
KEY RESPONSIBILITIES:
- Assist with organizing, composing, and distributing correspondence, both internal and external
- Sort, scan, and send payable documents to Corporate Administration for processing
- Process accounts and incoming payments in compliance with financial policies and procedures
- Perform day to day financial transactions; including but not limited to verifying, classifying, and recording accounts payable data
- Reconcile accounts payable to ensure bills and payments are accounted for and properly posted
- Facilitate payment of invoices by sending reminders and/or contacting clients as needed
- Collect and process travel expenses for staff members, ensuring that all expense reports are accurate and compliant with company policies and procedures
- Maintain office inventory levels by placing orders with suppliers as needed
- Receiving all VAI orders
- Provide back up support to administrative team as needed, including but not limited to answering phones, responding to emails, and others
- Other duties as deemed necessary by Management
REQUIRED SKILLS & EXPERIENCE:
Candidates who meet or exceed the following criteria will receive preferred consideration:
- Minimum of one year related administrative experience or an equivalent combination of training and experience
- Post-secondary education and related experience an asset
- Strong computer and data entry skills
- Excellent MS Office skills
- High level of accuracy and attention to detail
- Strong interpersonal, organizational and communication skills
- Superior customer service skills combined with ability to prioritize and multitask
