This competition will be used to fill bilingual (English/French) and non-bilingual positions at the Administrative Secretary (AY3) level of varying employment tenures, locations, language requirements and conditions of employment, depending on the needs of the positions being staffed.

Qualifications:
Essential:
- Experience performing varied administrative, secretarial, and clerical support in a professional and fast-paced office environment.
- Experience performing reception duties including screening and directing calls, operating multi-line phone systems, and responding to inquiries from the public.
- Experience handling sensitive information with a high level of professionalism, confidentiality, and discretion.
- Experience with Microsoft Office including Word, Outlook, Excel, and PowerPoint or other similar software applications.
- Effective organizational and time management skills with the ability to prioritize workload, meet deadlines, and work under pressure in a rapidly changing environment.
- Strong verbal communication skills in English; strong verbal communication skills in French (for bilingual positions).
- Strong written communication skills in English to draft, review, and edit correspondence, letters, memos, advisory notes, and reports; strong written communication skills in French to draft, review, and edit correspondence, letters, memos, advisory notes, and reports (for bilingual positions).
- Ability to take initiative and work independently with minimal supervision.
- Strong interpersonal skills with the ability to work effectively and build relationships with colleagues and clients.
- Experience creating and maintaining physical and electronic filing and tracking systems.
- Strong problem-solving and decision-making skills with the ability to use discretion and independent judgement involving nonroutine issues.
Desired:
- Experience working with database programs.
- Experience with general office financial administration, e.g., processing invoices for payments.
Duties:
The Administrative Assistant (Bilingual and non-bilingual) performs a wide range of duties to support the branch or division to ensure operational requirements and documentation flow needs are met. Primary duties include receiving, preparing, formatting, and distributing correspondence and documentation, compiling, and updating information, maintaining records and electronic filing systems, scheduling meetings, and providing first point of contact reception duties.
