The American Seniors Housing Association (ASHA) is seeking an Administrative Associate. This is a full-time, in-office position.
Created in 1991, ASHA is a 501c6 not-for-profit that represents the interests of senior living developers, owners, operators and financiers in the U.S. and Canada. Our members are both for-profit and not-for-profit organizations who provide older adults the full spectrum of community living options - including active adult, independent living, assisted living, memory care, and life plan communities.

Job Description Summary:
The Administrative Associate provides support to all Association departments, most directly Member Services, Meetings and Government Affairs. This individual completes general office clerical duties, plays a supportive role for the Association’s meetings and performs administrative tasks related to our political action committee (PAC). In addition, this individual assists with member communications, research and various special projects, including our annual State Regulatory Handbook revision and Where You Live Matters initiative.
Essential Duties:
Member Services/Meetings Responsibilities
Assist with general office operations, including bank deposits, bookstore orders and filing.
Aid with the maintenance of the membership database, keeping it current and accurate.
Take the lead for various tasks prior to and during ASHA’s three annual out-of-town meetings, including ordering materials, preparing the meeting shipment, populating the meeting app, formatting and printing badges, and preparing/ordering meeting signage.
Help prepare and distribute member correspondence (emails and print mailings).
Assist with the updating/distribution of an annual Board Directory.
Assist with research projects as assigned.
PAC and Lobbying Compliance
Enter/Update/Maintain record of PAC receipts and disbursements into Quorum compliance software and internal Excel spreadsheets.
Create reports on receipts and disbursements for distribution to membership.
File monthly FEC reports, quarterly LD2 lobbying disclosures and biannual LD203 contribution reports.
Send log-in credentials to online PAC contributors, deposit checks, manage bank reconciliation, generate thank you notes, and ship PAC thank you gifts to contributors.
Update/maintain calendar of events related to upcoming Congressional fundraisers and process disbursement checks to supported Congressional candidates.
Maintain State ASHA Member Communities Information Files.
Knowledge, Skills, and Abilities
Strong competency with Office 365 suite, in particular Word, Publisher, and Excel.
Database experience a plus.
Willingness and aptitude to learn new skills and flexibility to pivot as new assignments take priority.
Strong organizational skills.
Accountable to deadlines, with a strong attention to detail.
Demonstrated ability to work effectively both independently and as part of a collaborative team environment.
Must exercise discretion in all financial aspects of this position.
Ability to travel to out-of-town meetings three times per year; potentially being out-of-town for up to five days.
Education and Experience
College degree preferred but not required for consideration.

Pay: $45,000.00 - $50,000.00 per year
