Administrative Assistant/Receptionist

Reporting to the Executive Vice President and Chief Operating Officer or designate, the Administrative Assistant/Receptionist will provide confidential reception and administrative support to members of the Senior Leadership Team, Director-level positions and Site Administrators. This role requires a high level of confidentiality necessary for various types of information.
Work Location: Corporate Office, with coverage across various sites in Calgary

Accountabilities:
· Serve as the first point of contact for our visitors, clients, and staff in a friendly and professional manner.
· Manage incoming calls, including screening, directing and taking messages as appropriate.
· Provide administrative support across various departments, care homes, including document preparation, data entry, filing, and managing correspondence.
· Coordinate and arrange meetings and appointments, including room bookings, catering arrangement, and setting up video/conference calls as required.
· Assist with the communications and marketing strategies of the organization as directed.
· Act as a key liaison between employers and educational institutions for student practicum placements in care homes, while also ensuring the timely and accurate management of student records in Intercare’s online clinical database
· Assist in completing Post Admission Follow-up Surveys and drafting quarterly summary reports, maintain a log sheet of all calls, aid in creating and formatting site satisfaction/engagement surveys, and assist with various surveys including Resident & Family Engagements, Site Food, Recreation, Quality Project, and targeted ad-hoc engagement/feedback surveys as needed.
· Perform all other duties as required.
Qualifications:
· Two-year Post-Secondary Certificate/Diploma with Business focus; or equivalent preferred.
· Excellent computer skills, intermediate to advanced skill with MS Applications (Access, Word, Excel, Desktop publishing, PowerPoint, Survey Monkey set up and data management, familiarity with graphics design, e-mail, familiarity with website upkeep and postings.)
· 2 – 4 years’ experience as an Administrative Assistant in healthcare field or equivalent.
· Ability to multi-task, understand/ manage/ respond to varying priorities and use time management skills in order to meet short deadlines.
· Excellent communication skills (verbal, non-verbal and written).
· Detail-oriented, a fast learner, and ability to handle multiple tasks.
· Demonstrates strong organizational and interpersonal skills to work effectively with a wide variety of internal and external resources.
· Maintains a high level of professionalism and confidentiality.
· Ability to work independently and to work effectively as a member of a team.
