Administrative-Warehouse Assistant Job Summary:
The Administrative Warehouse Assistant is responsible for contributing to the efficient operation of the office, inventory, shipping & receiving areas. Daily administrative responsibilities include answering incoming telephone calls and emails, maintaining files, data entry, preparing correspondence, updating spreadsheets and computer-generated reports/documents. Routine warehouse responsibilities include checking stock availability, maintaining stockroom records, ordering inventory, pricing work orders, shipping, receiving, and applicable correspondence associated with these tasks.
The Administrative-Warehouse Assistant will ensure that all questions and areas of Human Resources and Payroll are handled by Mackay-Corporate only.
- Ensure adherence to company policies and procedures.
- Execute depot procedures in accordance with established company standards for customers, sales, vendors, depots, and dealer needs.
- Respond to inquiries from Corporate USA Accounting, HR, Payroll, IT, and its executives. Forwards all HR and/or Payroll, matters, external inquiries, and employee questions to HR-Corporate.
- Data entry into company database, process weekly invoices, sales/service inquiry logs, sales orders, and work orders.
- Proficient in using Solomon to obtain simple reports, track transfers, shipments, and logging inventory items both shipped and received.
- Perform general office duties. Answer the telephone, email, prepare correspondence, distributes/sends mail, checks stock on hand, and orders office supplies in a cost-effective manner.
- Maintains internal spreadsheets for vacation, sick, and daily time reports for service technicians.
- Prepare biweekly timesheets for supervisor’s review before forwarding to Payroll.
- Processes technician expense reimbursements.
- Maintains accurate records of credit card payments and bank deposits.
- Maintain inventory records for all goods/supplies shipped and received. Ensures inventory is correctly maintained and may be required to assist with or perform cycle counts.
- Contacts manufacturers and distributors via telephone, fax, or email to obtain availability and prices on needed equipment, parts, or materials.
- Checks goods received against purchase orders and/or requisitions to ensure completeness, label, and store per internal procedures.
- Other tasks as directed.
_ Administrative-Warehouse Assistant Qualifications:_
- Proficient in English.
- University degree preferred, Vocational (two years post High School) at minimum.
- 3+ Years of administrative and clerical assistance.
- 3+ Years of customer service.
- 1+ Years of inventory experience.
- Professional appearance, punctual, accountable, and maintains confidentiality.
- Excellent phone etiquette, verbal, and written communication skills.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Valid driver’s license and reliable transportation.
