Body Harmonics brings 25 years of experience in the movement and health fields. Our two Studios and Clinics offer various services such as Pilates one-on-ones, group classes, registered and non registered clinic services, and Pilates Educational Programs.
We are seeking a Client Care Associate for a part-time hybrid position. The role will consit of:
- Two in-person shifts (12 hrs) at either our Eglinton or Dupont Studio/Clinic starting in mid-April, with this increasing to three in-person shift (18 hours) in September
- 10 hours of virtual work from home (contacting clients about their experience, next steps and account details.)
This position starts at 22 hours weekly in May and increases to 30 hours in September. Please read on
Responsibilities
As a member of our client care team, you are responsible for all aspects of communication and day-to-day running of the front desk and our studio.
- Welcoming, genuine, helpful and caring interaction with clients, colleagues, etc
- All forms of communication: face-to-face, phone, email, website
- Managing all studio and clinic client appointments on a day-to-day basis
- Managing all aspects of group classes on a day-to-day basis (registration, recommendations, complaints, changes, special requests, etc.)
- Managing all aspects of our client intake process on a day-to-day basis
- Managing regular client payments and accounts
- Managing and replenishing studio printed collateral on a day-to-day basis (schedules, fees, welcome kits, client forms, posters, postcards etc.)
- Maintaining clean and professional appearance of studio, clinic and staffroom
- Following financial close out procedure (when applicable)
- In emergency situations and in conjunction with teachers and or clinicians, arranging subs for one-on-one sessions and/or group classes
- Attending all team and development meetings
- Being available via phone or email outside your regular hours of work for the needs of Body Harmonics and your colleagues
- Being flexible to cover for your team members
- Staying up to date on your knowledge of products and services offered at Body Harmonics
- Being prepared to make appropriate recommendations for products and/or services in detail to clients
Hours of work
- Shifts are set for several weeks at a time. Shifts are Mon - Sat 8:45 am - 2:30 pm, Mon - Thur 2 - 8 pm.
- Available to work at either our downtown (Dupont and Christie) and/or midtown (Young and Eglinton) studio/clinic
- Available to help your team members by covering shifts
- Work-from-home hours are set weekly based on your availability which set tasks and project timelines

Qualifications
- High school diploma or equivalent
- 1+ years of customer service and/or administration experience
