Position: Collections Supervisor

Closing: Posting will remain open until filled

Term: Full Time (35 hours per week)

Salary Range: $66,100-$77,660

We are currently seeking a Collections Supervisor for any of our office located in Sault Ste. Marie, Dryden. Hamilton,Peterborough, Sudbury, North Bay, Timmins, Toronto, or Ottawa.

As Collections Supervisor you will be an integral member of the Property Management team responsible for, but not limited to, leading the collections team, and ensuring that rent is collected in a timely and efficient manner at the same time ensuring that arrears rates remain below target. The successful candidate will be a goal-oriented, organized, enthusiastic individual who understands and appreciates how safe, affordable housing contributes to the quality of life and serves as a stable foundation.

Duties and responsibilities will include, but not be limited to the following:

  • Support OAHS’s mission and vision and make significant contributions to the achievement of the strategic plan;
  • Provide effective management and leadership of the Collections Team including training and development of soft skills and job specific skills, organizing job tasks, motivation, feedback, mentoring and coaching, performance management including efficiencies, recruitment and administration processes;
  • Post and collect all rent in the OAHS portfolio;
  • Ensure that team meets or exceed the established goals for Key Performance Indicators (KPI) for the collection process;
  • Issue Landlord and Tenant Board (LTB) forms and attend tribunal hearings as needed;
  • Upload rent files/PAPs to the financial institution;
  • Process NSF reports from the financial institution;
  • Monitor and ensure LTB orders are implemented and followed;
  • Create and implement strategies to increase the number of successful collection on outstanding rental arrears and other related debts;
  • Implement department SOPs (Standard Operating Procedures) to support and ensure rent is collected and avoid excessive bad debt;
  • Provide relevant and accurate reports on a timely basis;
  • Support implementation of various rent relief programs;
  • Support strong tenant relations communications and processes;
  • Identify and recommend changes to our business management system and related SOPs to improve both efficiencies and controls;
  • Outreach to various community agencies to identify rent relief supports that would benefit our tenants;
  • Assist Finance department with monthly reconciliation;
  • Maintaining system databases including the Bad Debt Registry;
  • Approve bad debts to be sent to outside collections agency;
  • Other duties as required.

To qualify for this role, the successful candidate will have the following qualifications and skills:

  • College Diploma or University Degree, Office Administration or related field, or combination of education and experience;
  • Chartered designation for the Chartered Institution of Housing is preferred or willingness to undertake and successfully complete these studies.
  • Knowledge of and an appreciation for Indigenous culture and demonstrated values that focus on assisting people;
  • Strong leadership skills;
  • Ability to create procedures including workflow processes, Key Performance Indicators.
  • Strong investigative, analytical, problem solving and decision-making skills.
  • Effective leadership, supervisory and budgetary skills.
  • Project management skills to lead and coordinate projects concurrently and to meet stringent and conflicting deadlines.
  • Working knowledge of Microsoft applications including Excel spreadsheets.
  • Familiarity with the Freedom of Information Act and PIPEDA.
  • Excellent problem-solving skill and the ability to use sound judgement;
  • Demonstrated ability to communicate both written and orally using multiple channels with a variety of stakeholders both internal and external to the organization;
  • Tact and diplomacy to address cultural and language variances.
  • Ability to work both independently and as a team member with a strong desire for continuous performance improvement.

  • Valid CPIC clearance (Criminal Records check);

  • Must be Bondable, if required;
  • Current, valid Ontario Driver’s License and safe driving record.
