THE ROLE:
The Coordinator, Complaints & Investigations is responsible for the tasks related to the intake and processing of complaints against ASTTBC registrants. Reporting to the Complaints & Investigations Officer, the successful candidate will assist in the management of complaint files regarding the misuse of reserved title and unauthorized practice as well as administrative support including liaison with the Investigations Committee, maintenance of corporate records on titles, and assistance with the development of procedures to implement policies.
This is a full-time position working from Monday to Friday and attendance of approximately 8 committee meetings annually, typically scheduled from 5:00 pm to 8:00 pm, is required.
Key Areas of Responsibility
The Coordinator, Complaints & Investigations' responsibilities include, but are not limited to, the following:
Coordination of Complaints:
- First point of contact for complaint intake process from Complainants; ensuring submission is as per policy.
- Preliminary review of matter including vetting of complaint or concern and if required, liaison with subject matter experts (SMEs) and notification to Authorities Having Jurisdiction (AHJ).
- Opening of case files, coordination of Inspector selection, and correspondence/coordination with all parties during the investigation.
- Reviewing of Inspectors’ reports for accuracy, completeness to ensure due process has been followed.
- Assisting with preparation of draft briefing notes to the Investigations Committee.
- Assisting with coordination of Investigations Committee decisions on complaints – as and where applicable, advisement to Respondents and Complainants, coordination of suspensions with Registrations department, and notifications to AHJs.
- Coordination of Investigation Committee outcomes with Complaints & Investigations Officer and updating the Investigations Committee, Respondents and Complainants as required
- Coordination with Registrar of discipline-related publications on website, as required by Bylaws.
Coordination of Titles and Unauthorized Practice Complaints:
- Coordination of handling titles and unauthorized practice violations with the Complaints & Investigations Officer including preliminary correspondence to Respondent and follow-up.
- Assisting with the maintenance of corporate records of titles/official marks, and related correspondence.
External Resources:
- Assisting in the selection, training and oversight of SMEs and investigators and maintain roster list.
- Communication with AHJ as required.
Policies and Procedures:
- Validation and implementation of processes for applying policies for complaints and violations of title and unauthorized practice.
Liaison with Investigations Committee:
- Assisting the Complaint & Investigations Officer with identifying complaints that require immediate attention.
- Supporting Investigations Committee and Chair including publishing of the agenda, facilitating meeting, and minute-taking.
- Completion of post-meeting administrative tasks including correspondence, minutes, case statistics, and database update.
WHO YOU ARE:
The ideal candidate will have the following qualifications:
- Post secondary education in legal studies or another relevant discipline, or a combination of relevant education and experience.
- Experience handling incoming complaints in a legal or regulatory environment is an asset.
- Knowledge and ability to work within a legislative framework; demonstrated experience with the legislative Acts.
- Familiar with Administrative Law and with the general functions of administrative tribunals, civil and criminal law and other relevant Acts and Regulations within Canada.
- Excellent initiative, attention to detail, and organizational skills with the ability to prioritize competing priorities.
- Ability to think critically and exercise independent and sound judgment.
- Ability to deal effectively with challenging situations utilizing tact and discretion.
- Ability to uphold confidentiality and manage sensitive situations in a professional manner internally and externally.
- Strong written and proofreading skills, including knowledge of correct grammar, spelling and punctuation, to draft decisions, reports, and correspondence.
- Ability to work collaboratively in a team as well as independently; excellent interpersonal skills.
- Proficiency with Microsoft 365 (Outlook, Word, Excel, Notebook, PowerPoint) and Adobe Acrobat; experience working with legal software and database is an asset.
