Description
Saskatoon Indian & Metis Friendship Centre is looking for a part time Event Coordinator with the ability to manage all aspects of the administration and logistics in support of our Indigenous Graduation Gala 2024 with an anticipated attendance of 800 people. The Coordinator must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision. Coordinator must be able to build relationships with internal and external partners/stakeholders and be willing to work evenings and weekends.
Event Planning and Production
-Assist with negotiations for space rental/contracts and book event space, arrange food and beverage, order supplies and audiovisual equipment, order event signs, and ensure appropriate decor to meet the theme of young Indigenous graduates.
-Serve as a liaison with vendors on event-related matters.
-Meet with the school divisions to give and receive information.
-Assist with managing on-site production, preparing nametags, materials, packages, gift bags, registration lists, seating plans, etc.
-Seek funding for event such as writing grants and sending out funding letters.
Event Administration:
Assist with preparing budgets and provide periodic progress reports to executive director. Keep track of event finances including cheque requests, invoicing, and reporting. Prepare and modify event contracts as requested.
Qualifications:
o Excellent communication skills, including writing, proof reading skills, and speaking.
o Experience in grant writing and fundraising an asset.
o Excellent interpersonal skills both in person and by phone, with high professionalism.
o Ability to accomplish projects with little supervision.
o Report writing.
o Bachelors degree preferred; significant work experience can substitute for the degree.
o At least 2 years experience with office administrative management.
o 20 hours per week until end of June 2024.
