Position Title: Event Planner
Reports to: Executive Director
Hours of Work: 15 hours weekly
Employment type: 8-10week contract
Position Overview: We are seeking a dynamic Event Planner to join our team on a short-term basis (8 to 10 weeks) to spearhead the planning and execution of an upcoming 1.5 day conference-style gathering. The successful candidate will be responsible for coordinating all aspects of the event, ensuring its success, and creating an engaging and memorable experience for attendees.
The event will be in two parts: The first full day will be sessions and workshops for Social Services and Health Care staff, who are employed throughout Alberta in programs that support vulnerable women who are pregnant or may become pregnant. Vulnerability experienced by program clients includes being unhoused,using substances, experiencing severe mental illness, and/or being a newcomer.
The second day will run morning only, and will be open to the public and other professions. This portion will highlight the work done by the provincial programs, and will provide insights and perspectives on the needs of program clients.
Key Responsibilities:
- Event Planning & Coordination:
- Develop and manage event timelines, budgets, and logistics.
- Coordinate with vendors, suppliers, and stakeholders to ensure smooth event execution.
- Secure venue, catering, audiovisual equipment, and other necessary services.
- Program Development:
- Collaborate with speakers, presenters, and panelists to curate an impactful conference agenda.
- Assist in the creation of promotional materials, agendas, and event collateral.
- Logistics & Operations:
- Oversee on-site event setup, registration, and coordination.
- Manage day-of-event operations, including troubleshooting any issues that arise.
- Ensure compliance with all health, safety, and legal standards.
- Post-Event Analysis:
- Gather feedback from attendees and stakeholders to evaluate event success.
- Prepare brief post-event report and recommendations for future events.
Qualifications:
- Proven experience as an Event Planner or similar role, with a strong track record of planning successful conferences or events.
- Exceptional organizational and multitasking skills.
- Strong attention to detail and problem-solving abilities.
- Excellent communication and interpersonal skills.
- Proficiency in event management software and tools.
- Diploma or degree in Event Management, Hospitality, Marketing, or a related field (preferred).
