You will be employed by the Company in the position of Fieldstone Events Associate. Upon the successful completion of your probationary period, you will become a permanent employee.
You will report to the Company’s Event Sales & Hospitality Manager. Your duties and responsibilities are set out in the job description. The Role:
Reporting to the Event Sales & Hospitality Manager, the Fieldstone Events Associate is a key member of the Fieldstone team providing support on all Fieldstone activities across core business areas of beverage manufacturing, hospitality, and commercial operations (finance, marketing, sales). The Fieldstone Events Associate will assist with execution of events from start to finish, event administration, client engagement and retention.
Responsibilities:
- Plan, organize and finalize all event details to ensure that the appropriate resources have been purchased/planned, as well as to ensure client satisfaction on the day of.
- Greet and engage customers in a friendly and enthusiastic manner.
- Audit all existing files once every month to ensure that all payments are up to-date, initial deposit paid, and deposit slips are present in each respective file.
- Create banquet event orders (BEOs), floor plans, and other documents required for all team members participating with the event.
- Ensuring that all BEO’s are reviewed by the client and signed off on by client to confirm their approval.
- Coordinate event logistics for sample meals to clients who have been contracted one.
- Assisting clients with upgrades and ensuring that it is inputted into the event planning software, and the appropriate changes are reflected on the client invoice
- Enhance client experience by providing superior customer service.
- Being on the floor to assist with event execution for key/marquee event.
- Assist clients in menu selection so that their minimum contracted food and beverage obligations are met and/or exceeded.
- Ensure the facility is clean/tidy and ready to execute an event
- Ensure silverware is polished, cleaned and put away
- Assist with table set up and tear down
- Assist with moving tables according to client’s floor plan
- Process final payments using our accounting software Odoo
- Ensuring BrightSigns is updated and accurate.
- Serving and Bartending will be required.
- Offsite events/ tradeshows as needed.
- Other related duties as required.
Qualifications

- Must be Smart Serve certified
- 2+ years of event planning is required
- Thorough understanding of event administration, event operations and coordination
- Attention to detail
- 1-2 years of supervisory experience is an asset
- Superior communication skills
- Customer service experience is required
- Possess a fun, professional and positive attitude
- A thirst for knowledge and a desire to constantly be learning about beer and brewing process
- Must be comfortable working outdoors
- Available to work evenings, weekends, and holidays
- Comfortable standing for 8-10 hours
- Must be able to lift a keg and cases of beer
