Job Description
What is the opportunity?
You will provide support for the Senior Vice President (SVP) in day-to-day management by completing administrative and operational duties. You will independently manage duties, allowing the SVP to focus on activities which contribute to the achievement of client experience and business objectives. You have a solid understanding of the SVP’s objectives, along with the business knowledge to communicate and work effectively with their partners and clients.
What will you do?
- Lead with a growth mindset, focusing on what’s possible to maximize client acquisition, growth and deliver an exceptional client experience, demonstrating client stewardship and care in every decision and activity
- Demonstrate professionalism in all elements of client & employee communications and take ownership to resolve client concerns and requests at first point of contact, escalating to ensure minimal impact to client
- Manage SVP’s e-mail/mail/calendar, proactively responding to correspondence/requests and prioritizing for the SVP to read
- Ensure SVP’s needs are proactively identified, provide required information/documents for him/her to complete their duties and prepare material required by SVP for presentations, meetings, etc.
- Build and maintain a high level of organizational awareness and a network of RBC contacts to manage and provide support to the SVP and his/her teams
- Contribute to organizing and coordinating internal and external meetings and events for clients and employees, leveraging available technology to enable virtual collaboration
- Assist with employee on/off-boarding activities (HR paperwork, equipment order/set-up, systems access, orientation/information on RBC set-up activities, such as corporate Visa card order)
- Ensure skills / knowledge are up to date and aligned to meet the SVP’s needs and collaborate with team by sharing best practices, coaching, mentoring and assisting colleagues for individual and team success
Must-have
- 3+ years of Executive or Administrative support experience supporting multiple senior leaders
- Superior organizational skills specifically around calendar management, scheduling, ability to organize, plan, and schedule activities
- Strong interpersonal relationship skills in working effectively with various levels of staff, including senior management and executives; ability to work as a team member
- Sound judgement in decision making; strong problem solving skills and resourceful in working with others and representing the office of the senior executives
- Anticipate the needs of the senior executives and flag questions or opportunities before issues arise
- Demonstrate initiative, positive and helpful attitude when dealing with others in a professional manner
- High proficiency in MS Office (Word, PowerPoint, Excel, Outlook); Intranet and Internet navigating and research skills
- Able to commit to a one year contract in this role
- Related experience within a large matrix corporate environment
