Job description

Executive Assistant Objective:

A highly resourceful team-player, with the ability to also be extremely effective independently. Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level internal/client service. Ensure a smooth-running of the office, working both on a one-to-one basis with the executives, but also on a wider basis with internal and external clients. You will be communicating on behalf of the executive.

What you bring to the table:

  • Post Secondary education with a concentration on Business is an asset.
  • Minimum 3 years experience as an Executive Assistant or Senior Administrative Assistant
  • Advanced proficiency with Microsoft Word, Excel, PowerPoint and Outlook.
  • QuickBooks are an asset along with Good mathematical skills.
  • Excellent organizational skills and attention to detail with the ability to multitask
  • Good written and verbal communication skills including excellent telephone etiquette with a strong outgoing personality
  • Detail oriented, demonstrated ability to multitask, plan, and execute multiple concurrent activities and priorities. Ability to maintain high levels of accuracy while handling multiple tasks
  • Ability to handle frequent interruptions and changes in priorities.
  • Demonstrated excellent customer service
  • Ability to communicate both orally and in writing in a clear, professional and pleasant manner
  • Excellent people skills and very comfortable dealing with Senior Executives, Consultants, Government Officials and Business Professionals
  • Experience with Internet/web research facilities and applications.

Capacity to handle work responsibilities with accuracy and great speed.

  • Provide excellent and continuous support to the CEO for all business related matters
  • Knowledge of French and/or Arabic language is an asset, but not required.

Job Details

This is for a professional individual who is well-presented at all times. You will be dealing with internal colleagues and external visitors on behalf of their management team

  • Independently manage and schedule calendar and contact list of the CEO.
  • Prepare correspondence, reports, process flowcharts and presentations primarily in Word, Excel and PowerPoint for CEO office matters. Prepare records such as agenda, notices, minutes, and resolutions for meetings, and distribute materials in advance regarding confidential corporate matters
  • Proactively follow-up on all matters pertaining to the CEOand related companies
  • Coordinate and Manage CEO’s Confidential Files and company related files.
  • Coordinate meetings for the CEO’s office , production of relevant files/documents, minutes of meetings and co-ordinate Special Events for the CEO
  • Attend Meetings , Events and Business related Functions with or on behalf of the CEO
  • Be an Ambassador for the Paramount Group of companies
  • Handle daily control of all of the CEO’s communications systems and equipment including weekly backups of emails data
  • Travel to Paramount locations and prospective sites in various cities in Ontario and Quebec, the US and possibly overseas with and on behalf of the CEO as required
  • Handle all communications with the CEO’s office.
  • Assist CEO with Research and Implementation of New PM Projects.
  • Reports to CEO or COO

Work Location:
