Position Summary



Cambrian College’s Academic Upgrading Department requires a full-time Intake OfficerAcademic Upgrading on a leave replacement basis beginning March 2024.

Duties and Responsibilities

  • Organize and perform tasks related to intake, documentation, and registration of all students enrolling in the Academic Upgrading Program, including placement assessments and providing academic counselling/advising.
  • Address student, public, and agency inquiries by providing information on program content, assessment and funding mechanisms.
  • Contribute to the design, maintenance, and execution of Academic Upgrading Intake protocols, and processes.
  • Provide quotations regarding WSIB sponsorship to the Enrolment Centre for all WSIB clients who enroll in Academic Upgrading. Process fees every semester for WSIB clients in Academic Upgrading.
  • Communicate assessment results, provide follow-up, and address initial inquiries regarding program selection and career choices. Identify literacy level and students with special needs and provide referrals to the Glenn Crombie Centre as required.
  • Coordinate the registration of Academic Upgrading students. Explain guidelines, organize, and facilitate orientation sessions for new students.
  • Develop and deliver information sessions on the Academic Upgrading program, explaining funding mechanisms and program content. Provide one-on-one consultation for those who require more or specialized information.
  • Meet with potential students, family members, and other stakeholders to answer questions and/or advise on various pathways to achieve educational goals.
  • Compile and update intake information for potential Academic Upgrading students, as well as for referring agencies and other Cambrian stakeholders.
  • Develop and deliver presentations in support of Academic Upgrading admissions; act as a key liaison to academic and other College departments with respect to questions and issues around Academic Upgrading admission (both at the program and student level) and related policies and processes.
  • Liaise with relevant Cambrian staff and community agencies to ensure all arrangements are in place prior to start-up. Provide detailed information confirming Academic Upgrading participants to internal and external stakeholders (e.g., sponsors, Upgrading staff, and Test Centre staff).
  • Prepare and maintain student documentation on all potential students acquired through information sessions, office visitation, and telephone/email inquiries and referrals. Answer questions from referral agencies and prospective clients regarding Academic Upgrading, as well as other college programs, services, and new initiatives.
  • Meet with community organizations to discuss Academic Upgrading program and meet with potential clients in the community.
  • Prepare presentations and participate in recruitment activities with community and government partners.
  • Attend recruiting events locally throughout the Greater Sudbury area.

Qualifications

  • Two-year postsecondary diploma preferably within the area of Social Services. (A copy of educational documents must be submitted with application.)
  • Three years of experience working within an educational setting, along with experience working in a customer-service environment and working with and maintaining records.
  • Experience with public presentations and public speaking.
  • Excellent interpersonal skills and the ability to exercise tact and good judgment.
  • Collaborative professional who promotes teamwork and works cohesively within a team-oriented environment.
  • Proficiency in Microsoft Office software (Word, Excel, PowerPoint, OneNote and Outlook).
Additional Assets/Preferred:
  • Experience working within a postsecondary environment.
  • Knowledge of Community Organizations throughout the Greater Sudbury region.
