Harbour Estates Winery is seeking an experienced, creative and self-motivated Marketing and Events Coordinator to join our team and become part of our fast growing hospitality business. The Marketing and Events Coordinator will collaborate with our Assistant General Manager for the successful marketing, sales, planning and execution of all types of events including corporate, private, on site and off site winery events and weddings in our three major onsite venues available for functions.
Your time will be split between office days and event days.
During office days you’ll handle emails from couples/inquiries, collaborate with the AGM to get contracts out and signed, give tours of the facility to potential clients, and sell packages. You’ll also meticulously track all of the details along the way to keep all departments in the winery informed. You will also be responsible to market the Winery itself as a whole.
On event days, you’ll co-manage the set up and tear down, keep the timeline on track, and quickly solve any problems that come up and ensure the event runs flawlessly.
Responsibilities:
1. Collaborate with the AGM to sell, plan, and coordinate all private events held on the property
2. Work with clients to determine their needs and choices then plan and execute the event in all aspects including menu, rentals, decorations, entertainment and more
3. Co-responsible for managing budgets, coordinating rentals and equipment needed for the event, and overseeing the setup and tear down of the event
4. Inform clients of details to their event keeping everyone up to date
5. Collaborate with other departments to ensure all details and changes of the event are communicated
6. Determine number of staff needed for events and relay information to HR to schedule
7. Develop and maintain strong relationships with suppliers ie. Entertainment, flowers, linens, etc.
8. Communicate with Caterers to ensure proper contacts and dates are sent and booked
9. Market the winery as a whole to help draw in new and return customers to the Winery
10. Contribute to Social Media channels, newsletters, and come up with new forms of Marketing the Winery
11. Plan and market new events to help draw in guests
12. Book and Attend offsite wine/wedding shows to promote the Winery
13. Attend Industry nights to make connections with others in the industry (1 per month, evening)
Requirements:
1. Strong organizational and communication skills are essential

4. Self starter able to work with limited supervision
5. Strong Team player
6. Events Management certificate an asset
7. Wedding planner certification an asset
8. Marketing certification an asset
9. Knowledge and desire to provide an exceptional experience and show clients the “wow”
10. Strong negotiation skills
11. Professional and responsive with the ability to deal with difficult individuals
12. Strong communication skills to ensure all details and logistics are communicated to the appropriate individuals
13. Able to identify or deal with problems and quickly come up with a resolution
14. Exceptional organizational skills to manage tight timelines
15. Strong computer skills and proficiency with Office 365
16. Able to maintain confidentiality of information
17. Able to work evenings, weekends, public holidays, and long hours as required
18. Valid driver’s license
19. Valid Smart Serve license
Job Types: Full-time, Permanent
Salary: $21.00-$25.00 per hour
