Job Description
We seek an Office Admin who wants to help us expand and improve. We are growing quickly and require bright and compassionate people; the Office Admin will report to the Office Manager, to ensure high levels of organizational effectiveness for all administrative duties.
What You Will Be Doing
The Office Admin will ensure the following business activities take place effectively to an appropriate level of depth and quality.
- Coordinate and manage work schedule (scheduling) for the Youth Support Workers
- Manage day-to-day office operations, including the front desk, company email, and general inquiries.
- Coordinate daily meetings and manage the meeting minutes.
- Liaise with Aeon’s vendors.
- Collect and log data into the Aeon Youth Services database and maintain a file system.
- Bookkeeping tasks, including invoicing, processing payments, and maintaining financial records.
- Manage office supplies and track inventory.
- Assist in HR (People Operations) Functions.
- Perform other duties and tasks as may be assigned from time to time.
- Provide administrative support to both staff and clients.
Your Experience
We are seeking a standout individual who can provide the following:
- Diploma or Associate degree in Office Management, Business Administration, or related field and/or Certificate as a Certified Professional Secretary (CPS) or Certified Administrative Professional (CAP) required.
- A minimum of 1 year of Administrative Assistant experience.
- Excellent verbal and written communication skills, interpersonal skills, and an ethical mindset.
- Handle confidential information with discretion and professionalism.
- Strong organizational and time-management skills.
- Ability to multitask in a fast-paced environment.
