The Office Administrator is responsible for managing various administrative, financial, and operational tasks within the company. Key responsibilities include handling reception duties such as managing incoming communications and courier packages, maintaining supplies, ensuring housekeeping is maintained, facilitating employee and guest travel and meal arrangements, and organizing company events. Additionally, the position plays an important role in financial functions such as recording petty cash spending, issuing manual cheques, processing expense reimbursements, maintaining employee absence and banked time requests.
Job Duties & Responsibilities
Reception/Administration
- Manage incoming calls, emails, and courier packages, directing them appropriately.
- Maintain reception area and office supplies.
- Ensure availability of necessary forms for employees and visitors.
- Assist with travel, meal and accommodation arrangements.
- Coordinate purchases and office equipment maintenance.
- Organize company functions and events.
- Keep contact lists updated.
- Track and record petty cash spending and issue manual cheques when necessary.
- Process expense reimbursements, both miscellaneous and job-related.
- Handle Visa statements, allocate charges, and reconcile receipts with statements
- Notify lead hands of daily call-ins.
- Maintain records of absence requests and banked time requests for inclusion in payroll submission and reporting purposes
- Provide administrative support to the JHSC (takes minutes, sends meeting reminders, orders lunch for meetings)
- Place orders for identified health & safety supplies/materials.
Job Qualifications:
- Office Administration diploma or equivalent combination of education and work experience
- 2+ years of office administration experience is preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to prioritize tasks and manage time effectively.
- Professional demeanor and customer service-oriented attitude.
- Ability to work independently and as part of a team.
- Proven ability to handle confidential information with discretion and integrity, ensuring utmost confidentiality and compliance with privacy policies and regulations
